Invest in your potential by taking positive steps to advance your career and pursue your next opportunity with us!All Global Human Resources roles must comply with the location strategy of that region.The Global Portfolio Management Office (PMO) serves as the intake mechanism for all in-scope HR projects funded by the Gyokei/International Portfolio Committee (IPC), ensuring projects are prioritized in alignment with evolving business needs and delivered within agreed timelines and budget commitments. The PMO establishes and runs the Global HR Portfolio Committee, working with stakeholders to prioritize projects, coordinate approvals, allocate resources, and oversee governance. It also tracks and reports on project progress, including results, timing, and budget, to ensure transparency and accountability.The position works globally, and scheduling flexibility is required to allow for regular meetings and connectivity with colleagues in the Americas, APAC, and EMEA time zones.MAIN PURPOSE OF THE ROLEThe Assistant Vice President (AVP), Global HR Portfolio Governance & Execution Specialist is responsible for managing governance frameworks, prioritizing HR projects, ensuring financial oversight, and tracking resource allocation. This role ensures that HR projects are strategically aligned, appropriately funded, and efficiently resourced while maintaining governance over capacity planning and budget utilization.Working closely with HR leadership, project sponsors, and Finance, this role ensures decision accountability, governance compliance, and process optimization across the global HR portfolio.KEY RESPONSIBILITIESThis role will take ownership and responsibility for the following:Portfolio Governance & Compliance

Manage governance frameworks, ensuring compliance with corporate policies and decision-making protocols

Track and facilitate resolution of portfolio-related risks, dependencies, and escalations

Maintain governance documentation, recording approvals, prioritizations, and funding decisions

Partner with the PMO to standardize governance processes across global HR projects

Portfolio Prioritization & Strategic Alignment

Support the assessment and prioritization of HR projects based on business objectives

Maintain a prioritization framework to validate projects based on impact, resource availability, and budget constraints

Facilitate capacity planning discussions to optimize resource allocation

Budget Planning & Financial Oversight

Contribute to annual and ongoing financial planning for HR projects

Track capital and expense budgets, ensuring compliance with financial policies

Monitor budget utilization, forecast variances, and identify financial risks

Collaborate with Finance to ensure accurate cost allocations and intra-affiliate charge models

Resource & Capacity Management

Assist in tracking and forecasting resource capacity to ensure efficient project execution

Work with HR leadership and regional teams to support workforce planning

Partner with HR Solutions to identify resource gaps and recommend hiring or contingent workforce solutions

Ensure Planview (or other PM tools) is leveraged as the single source of truth for tracking resources and capacity constraints

Portfolio Execution & Decision Tracking

Ensure timely execution of portfolio committee decisions, tracking approvals, funding, and resource commitments

Monitor project progress against governance and financial requirements

Establish escalation mechanisms to address governance and execution challenges

Committee Coordination

Plan, coordinate, and manage Global HR Portfolio Committee meetings, ensuring structured discussions and decision-making

Lead pre-meeting preparation, working with stakeholders to compile relevant data, validate updates, and finalise agendas

Coordinate meetings, ensuring clarity in discussions, documentation of decisions, and alignment with governance priorities

Track and follow up on post-meeting action items, ensuring timely execution and resolution of governance-related issues

Governance & Reporting

Maintain a standard operating manual detailing governance processes and meeting protocols

Provide reporting and insights on portfolio prioritization, financial tracking, and resource allocation

Ensure data accuracy and consistency in financial and governance tracking

WORK EXPERIENCE

7+ years of experience in portfolio governance, project execution, HR strategy, or program management within a global organisation

Strong background in governance frameworks, compliance processes, and decision tracking

Experience working with senior leadership, finance teams, and cross-functional stakeholders to drive structured execution

SKILLS AND EXPERIENCE

Expertise in project governance frameworks, compliance processes, and execution tracking methodologies

Strong organisation skills to plan and facilitate meetings and document details on key decisions

Proficiency in project portfolio management tools (e.g., Planview) and governance tracking systems

C-suite and executive communication skills, with the ability to present governance updates and execution insights clearly

Attention to detail, ensuring accurate tracking of decisions, risks, and follow-up actions

Ability to synthesise governance discussions into actionable insights for senior leadership

Strong stakeholder management skills, ensuring governance alignment across global HR teams

Highly organised and detail-oriented, ensuring governance and execution processes meet high standards

Proactive and results-driven, with a strong sense of ownership in governance execution

Strong problem-solving skills, with the ability to identify and resolve governance and execution gaps efficiently

Strong collaboration and stakeholder engagement skills, driving alignment across global HR teams

Flexible and adaptable, able to navigate evolving governance requirements and priorities

Performance and DutiesThe role holder will be assessed in accordance with their employing entity’s performance framework and process, with relevant input obtained from the dual-hatting entity as relevant.As duties and responsibilities change, the job description will be reviewed and amended in consultation with the role holder. The role holder will carry out other duties within the scope, spirit, and purpose of the role as requested by their line manager or Department Head.The compensation and benefits information in this posting applies to candidates hired in the United States. Candidates hired outside of the United States will be eligible for compensation and benefits consistent with the local market.The typical base pay range for this role is between $95,000 - $115,000 depending on job-related knowledge, skills, experience, and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
