Event Planning Company in NYC is looking for an Intern for an Event Coordinator Position. We are a high end, successful company with a team that works hard and simultaneously has a lot of fun. Job Overview:
As an Event Planning Intern, you will assist the event organizing team in the planning, coordination, and execution of events. This hands-on position will provide valuable exposure to all aspects of event management, from initial concept creation to post-event evaluation. You will work closely with senior event planners, vendors, clients, and other team members to ensure that events run smoothly and exceed client expectations.
Responsibilities:
Coordinate and execute site visits and walkthroughs for potential clients.
Provide on-the-ground support for live events, ensuring smooth operations. Including Photo Booth when needed.
Assist the Event Sales Manager with administrative tasks and day-to-day operations.
Research and identify new venues to add to our portfolio.
Collaborate with team members to enhance client experiences.
Working on event leads and company reach out, creating contracts when needed.
Demonstrate enthusiasm, a positive personality, and a strong desire to learn about the event industry.
Qualifications:
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proactive, detail-oriented, and able to work independently.
Tech-savvy with proficiency in calendar management tools.
A passion for the event industry and a hunger for growth.
Previous experience in event planning or a related field is a plus.
Commission based on sales and event fee for management of Photo Booth for events.
Key Responsibilities:
1. Event Planning & Coordination:
○ Assist in the development of event plans, timelines, and checklists.
○ Help research and recommend event venues, vendors, and suppliers.
○ Coordinate logistics for event setup and on-site management.
○ Assist in drafting event proposals and contracts for clients.
○ Maintain and update event management tools and calendars.
2. Vendor & Client Communication:
○ Attend meetings and phone calls with clients, assisting with information gathering and planning details.
○ Help prepare and send event proposals, contracts, and follow-up communications.
3. On-Site Event Support:
○ Provide on-site support during event setup and execution.
○ Assist in managing vendor relations on the day of the event to ensure timelines are met.
○ Support event staff in managing attendees, coordinating activities, and ensuring a smooth flow of the event.
○ Act as a point of contact for any issues that arise during the event, escalating them to senior team members as necessary.
4. Administrative & Operational Support:
○ Assist with maintaining event-related documentation and records.
○ Help prepare event budgets and track expenses.
○ Support the team in data entry, reporting, and compiling post-event evaluations.
○ Handle event registration and attendee communication (invitations, confirmations, follow-ups).
5. Marketing & Social Media:
○ Help create event marketing materials (invitations, flyers, etc.).
○ Assist in managing the company's social media.
○ Take photos or assist with video documentation of events for marketing or portfolio purposes.
○ Monitor social media engagement and respond to inquiries as needed.
6. Post-Event Evaluation & Feedback:
○ Assist in collecting feedback from clients, attendees, and vendors to assess event success.
Skills & Qualifications:

● Proficiency in Microsoft Office (Word, Excel, PowerPoint).
