Software Guidance & Assistance, Inc., (SGA), is searching for a Legal Operations Specialist for a Contract assignment with one of our premier Insurance Services clients in New York, NY. The role of this associate is to strategically support the Legal Affairs' Operations team in functional key business processes (i.e. matter management, financial reporting, document management, outside counsel program, and general technical support) and maintain the alignment of IT platforms with the needs of the business. The role will provide collaborative support across the law department in the implementation and use of progressive technologies, compelling strategies, policies and procedures, training, communication and key metrics through management of projects, honing of best practices, and utilization of technology. Responsibilities :

  • Collaborating closely with associates within Legal Affairs to identify and analyze core business processes and workflows and propose strategic enhancements in support of these goals.
  • Master utilization and functionality of specific systems to become lead Operations 'go to' for all US Law Department associates.
  • Partner with business clients to understand and constantly evaluate business needs and in consideration of such needs, configure, deploy, document, communicate and train on technological capabilities.
  • Support in the creation, design and delivery of trainings for attorney and other non-legal associates in support of key systems used within the department.
  • Identify issues and risks associated with the configuration of systems and lead the continuous improvement of internal business practices, processes, and training techniques in support of various IT systems.
  • Draft and manage the dissemination of key announcements and communications between key internal stakeholders and outside counsel as necessary regarding the maintenance of or impact to technologies on functional changes, system upgrades or outages of IT systems etc on an ongoing basis.
  • Assist in the design and improvement of financial reporting for a diverse audience of stakeholders.
  • Serve as the primary contact for outside counsel invoice and billing inquiries, general troubleshooting, and policy application (i.e. Outside Counsel Billing Guidelines).
  • Independently lead medium to large scale projects to ensure that departmental needs are met and managed holistically by evaluating system usage, reporting key financial against budget constraints using appropriate resources and tools.
  • Originate ideas solutions that leverage existing processes and system capabilities to increase productivity, simplify processes, and reduce cost.
  • Provide day to day support to address client needs, identify gaps, and propose solutions to resolve.
Required Skills:
  • Minimum of 3- 5 years of experience with increasing responsibilities in business and technical deployment/support positions in corporate legal departments or law firms.
  • Demonstrated skills in managing complex initiatives that incorporated change management techniques and leadership attributes.
  • Agility to master new technologies and systems in a changing corporate environment.
  • Excellent technical, analytical and problem solving skills.
  • Outstanding presentation, partnership and communication skills.
  • Comfortable with financial analysis and reporting.
  • Must be able to succeed in a matrix environment.
  • Experience in legal matter management / e-billing systems strongly preferred
  • Occasional off hour support will be needed to address IT production changes in various systems by performing system testing, upgrades, restoring functionality and access, or other system administrative activities required.
