The front desk is the first point of contact for patients and visitors in a medical office. They manage reception, scheduling, basic administrative tasks, and ensure smooth patient flow.
Key Responsibilities
- Greet patients and visitors warmly; verify identity and appointment details.
- Answer phones, triage calls, and route messages to appropriate staff.
-Schedule, Reschedule, and cancel patient appointments; maintain the clinic schedule.
-Collect and process patient information, insurance details, and co-pays.
-Verify patient insurance eligibility and benefits when appropriate.
-Maintain accurate patient records and ensure HIPAA Compliance.
-Manage waiting room flow, notify clinicians of patient arrivals.
-Handle basic administrative duties: filing, scanning, faxing, emailing.
-Coordinate referrals, prior authorizations, and appointments.
Skills And Qualifications
-Customer service: Strong interpersonal skills; patient-centered approach.
-Scheduling and Organization; Ability to manage multiple tasks, prioritize, and multitasks.
Typical Day to Day Tasks
-Check in patients, verify demographics.
-Update patient records and ensure consent forms are signed.
-Schedule follow-ups visits and coordinate with clinicians.
-Answer phone calls; provide appointment reminders.
-Scan and attach documents to patient charts in the EHR.
-Manage mail, faxes, and electronic messages.
-Prepare patient chart for upcoming appointments and tests.
-Assist with patient flow in the waiting area and exam rooms as needed.
Must me able to speak SPANISH and ENGLISH. Its a must.
