GENERAL PURPOSE:This position acts as a primary contact/liaison when patients first arrive for their appointments within the Eye Institute. Collaborates with Flaum Eye Institute Technical Staff, Clinical Coordinators, Surgical Coordinators, Faculty and other internal/external position to address patient needs. This position is expected to cover Check In, Check Out as assigned. In addition, this position is expected to participate in operational process improvement activities, including the development of new procedures and documentationREGULAR DUTIES:40% Reception: Greets patients to initiate positive ambulatory experience, requests patient identification, assures use of two identifiers to verify the correct patient, identifies healthcare provider to be seen, identifies referring provider and primary care physician, directs patients to next destination, obtains signatures as needed (e.g., for insurance forms), identifies and assesses patient special needs (e.g., interpreters). Protects Personal Health Information (PHI) for patients as indicated by HIPAA regulations. Assures cleanliness and order in the waiting room/lobby.Check-in patients to be seen at the Flaum Eye Institute Faculty Practice. As part of the check-in process, gather new patient registration information and enter data into IDX Flowcast system. Requires strict attention to detail for gathering patient demographics, contact information, health insurance coverage, and any special needs patients may need (e.g. interpreter services). Also includes determining if an appointment is for an auto-accident, worker’s compensation issue, or other special circumstance. Ensuring that HIPAA Philanthropy forms are completed on all patients per departmental specifications.40% Schedule and reschedule ophthalmic appointment requests for patient checking out after being seen by an ophthalmic care provider. Appointments must be triaged to the appropriate sub-specialty service. Triaging requires basic knowledge of ophthalmic medical ailments and ability to determine urgency of complaint (if uncertain, calls will be triaged by service specialists or nursing staff). Scheduler will place patients within the Comprehensive service, Contact Lens service, Cornea service, Retina service, Peds service, Glaucoma service, or Neuro-ophthalmology service.15% Create new patient charts for next day’s visit5% Oher clerical duties as assignedQUALIFICATIONS:High School diploma and 2 years related work experience; or an equivalent combination of education and experience. Medical terminology experience required. Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrates the ICARE values to patient, families and staff.
