- Work with staff and vendors on anything related to the Project Management Office
- Track program needs to ensure timely completion of tasks
- Make appointments, Schedule Meetings including Video Conferences, reserve meeting rooms
- Check and proofread various correspondence and documents
- Maintain records
- Log meetings, meeting minutes, and help prepare for meetings like power point presentations and documents/printouts.
- Post / Track / Report workshop information in School systems, Professional Development registration system
- Post appropriate program activities in reporting system(s)
- Disseminate and track return of letters of approval from school districts
- Track district usage of video conferences - possibly review/Edit/Disseminate Conference Catalogs
- Track and submit course enrollments to various online professional development vendors
- Address email inquiries - Draft / disseminate and monitor inquiries / emails
- Act as Administrative Assistant as well as Project Coordinator / clerk - this may include receptionist coverage/duties at times
- Answer phones for Center for Online Leaning administrators (forward calls / take messages)
- Create, disseminate, track submissions and items with School Board for Board Meetings and/or the relevant Center for Online Learning
- Track invoicing of all programs
- Administrative Experience
- Successful background supporting as Administrative Assistant and/or Project Coordinator
- Ability to log meetings, meeting minutes, and help prepare for meetings like power point presentations and documents/printouts.
- EXCELLENT Soft Skills, Personable and Great Work Ethic
- Windows proficient / Hardware proficient
- Experience working with a ticketing system.
- Good knowledge of Project Management principles/methodologies
- Experience working with Vendors
- Experience and success maintaining inventory and extensive data
- Experience meeting with technical staff to review meetings, goals, etc.
- Experience in Professional Development registration systems (like My Learning Plan / Frontline)
- Any experience in student and/or financial reporting systems (ex. QuickBase / CIT-IQ)
- Any experience supporting/troubleshooting technical issues / helpdesk.
