OverviewJob Title: Purchasing A ssociate Department : Real Estate & Infrastructure Operations Reports To: Purchasing Manager Job Summary: Reporting to the Purchasing Manager within the Department of Real Estate and Infrastructure Planning , the Purchasing Associate is responsible for assisting in the fulfillment of purchase requests at both program and administrative sites. ResponsibilitiesEssential Functions :

Fulfill purchase requests for food, materials, equipment and supplies for Rising Ground program and administrative sites; input data and request information into tracking system

Assist in implementing organization wide purchasing platform including but not limited to learning and understanding the technology and its capabilities , training others on how it operates , monitoring performance, conducing admin functions running reports and issuing purchase requests and ensuring that they are processed and finalized as needed.

Research and maintain relationships with vendors and suppliers to ensure efficient and cost-effective purchasing

Develop and maintain common product lists, including price/cost information along with historical data on past purchases

Work with the finance department to ensure accurate and timely reconciliation of all purchases

Assist with receiving and closing out open purchase orders with respect to fiscal closing limits

Track and document orders from time of purchase request through fulfillment and maintain organized system for purchase and receiving documentation

Aide with logging and tracking all asset purchases via asset management software

Track and reconcile agency credit card purchases and ensure documentation is properly prepared for end-of-month accounting

Assist in development of and tracking of formal procurements and awards

QualificationsQualification s

High School Diploma

Proficient in Microsoft Office software (Outlook, Word, Excel) and database management.

Process driven and attention to detail: accuracy in performing procurement responsibilities

Strong organizational, presentation, and customer service skills

Ability to multi-task and adapt to changes quickly; Self-motivated with the ability to work in a fast moving environment

Skill in preparing written communications and materials

Interpersonal skills: such as telephone skills, communication skills, active listening and customer-care

Typing skills to ensure quick and accurate data entry

Physical Requirements: Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Rising Ground
