ROLE: Festival Finance Assistant

OVERVIEW

This summer (June–August 2025), Bard SummerScape returns with a vibrant season of dance, theater, opera, music, and the beloved Spiegeltent. Presented by the Fisher Center at Bard, this celebrated multi-arts festival takes place in person on Bard’s idyllic 1,000-acre campus, featuring performances in the stunning Frank Gehry-designed performing arts center.

The Festival Finance Assistant’s (FFA) primary responsibilities are to support the day-to-day activities of the financial and administrative functions of the Fisher Center (FC) during SummerScape 2025. The FFA will report to the Director of Finance and Administration (F&A), will support the Finance and Administration Associate, and will work closely with the Company Management team.

This is a seasonal position from June 1 to August 20, non-exempt (overtime eligible), paid hourly at a rate range of $22 to $25 depending on experience. Hours will average 35 hours/week, with the potential for overtime. During April and May, there is the possibility of remote work averaging 10-12 hours per week, should the selected candidate be interested and have availability.

Local residence is required from June 1 to August 20; campus housing will be provided free of charge if needed, including a single bedroom and shared amenities based on availability. Employees will have access to three (3) meals per weekday and two (2) meals per weekend day on campus during the residency period. Should campus dining agreements or options change from the time of the agreement, an equivalent per diem will be provided. PLEASE NOTE: Room and board may differ for current Bard College students.

RESPONSIBILITIES

General responsibilities include, but are not limited to:

Collect and file financial documentation, such as receipts and invoices

Assist the F&A Associate with corporate credit card expense allocations and monthly credit card reconciliations

Help oversee purchasing and expense tracking processes and day-to-day workflow

Generate check requests for multiple departments

Assist with organizing accounts payable, including mailing checks to artists and vendors on a weekly basis

Coordinate domestic and international shipping (Fedex, USPS, etc.)

Supportl festival staff in purchasing activities and enforce purchasing policies

Communicate with the F&A and Company Management teams ins scheduled check-in meetings and when issues arise

Other projects as assigned

REQUIRED QUALIFICATIONS

EXPERIENCE

Some professional administrative experience

Data entry and data management

KNOWLEDGE, SKILLS, AND ABILITIES

Financial literacy

Familiarity with Google Sheets, Google Drive, and Documents

Communications skills and attention to detail

Ability to work well independently and closely with other team members

PREFERRED QUALIFICATIONS

Experience in financial or administrative support position in a college or performing arts center

Previous bookkeeping or accounting experience

Interest or background in the performing arts is highly encouraged, with an undergraduate or equivalent experience in arts administration preferred, but not required.
