Our client, a technology firm, is seeking an experienced and proactive Workplace Experience Manager to support their NYC office. Hours are 8:30am-5:30pm (with a lunch break) and this role will be in person five days per week. The individual in this role will provide administrative support to Directors and their teams with an emphasis on smooth office operations. Front Office ResponsibilitiesServe as the first point of contact for job seekers, hiring managers, vendors and internal employees; demonstrate a friendly, positive presenceAnswer the main line, transfer calls and take messagesMeet and greet visitors, escort them to their interview room and alert approporiate indivuals when they have arrivedMonitor interview rooms (wipe tabletops down as needed, stock pens)Enter visitors' names in security systemReceive deliveries and maintain inventory; alert employees when personal packages arriveProvide administrative support to Directors and other leaders; book restaurant reservations, order gifts and flowers, order catering, book travel arrangements (ground transportation, flights, hotels)Office Management ResponsibilitiesOversee all operations of the kitchen and shared communal spacesKitchen tasks include running and unloading dishwasher, restocking snacks, and keeping the space tidy (wiping down countertops throughout the day)Manage and create access fobs for all team members Serve as the building liaison, work with vendors and schedule maintenance as needed, coordinate management for on-site work and obtain certificates of insuranceSubmit all receipts for expenses made on company card into a purchase log Send weekly office updates to the leadership team regarding ongoing projects, events, and broader office operationsCoordinate team building activities and events from start to finishOrder and maintain all office inventory, snack supplies and refreshmentsOrder business cardsMaintain a tidy conference room Ensure appliances are running properlyCommunicate with cleaning vendor and ensure they are adhering to the contractOnboarding Responsibilities:Send new hire welcome emails the day prior to startSet up workstation tech and suppliesDistribute new hire kits from MarketingOffboarding Responsibilities:Ensure employee laptop/security credentials are returnedPackage and ship personal belongings as neededTechnology Support: Assist with/oversee setup and troubleshooting of all workstation/communal technology.Workstation Tech:LaptopsDell MonitorsHeadsetsHP/Lenovo Docking StationsDesk PhoneComputer AccessoriesCommunal Tech:A/V software/hardwarePrinterBeacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.California residents: Qualified applications with arrest or conviction records will be considered for employment in accordance with the Los Angeles County Fair Chance Ordinance for Employers and the California Fair Chance Act.If you would like to complete our voluntary self-identification form, please click here or copy and paste the following link into an open window in your browser: https://jobs.beaconhillstaffing.com/eeoc/Completion of this form is voluntary and will not affect your opportunity for employment, or the terms or conditions of your employment.
