Description We are looking for a dedicated Administrative Assistant to join our team in the Real Estate & Property industry in Charlotte, North Carolina. As an Administrative Assistant, your role will encompass a wide range of tasks including managing communication with project management staff, maintaining relationships with subcontracting vendors, and overseeing invoicing and accounts payable processes. This role is essential in ensuring the smooth operation of our homebuilding division office.Responsibilities: Facilitate daily communication with internal project management staff and division management team to ensure smooth operations. Cultivate and sustain effective working relationships with subcontracting vendors to promote teamwork and cooperation. Manage field checks, invoicing, and accounts payable processes for new starts to maintain financial accuracy. Oversee vendor insurance, contractor agreements, and scheduling to ensure compliance and timely execution of tasks. Utilize Microsoft Office suite (Excel, Word, Outlook) to manage and organize data efficiently. Use DocuSign and PDF for document management and electronic signatures. Conduct data entry tasks such as inputting customer information and managing high-volume data. Answer inbound calls and handle email correspondence to maintain open lines of communication. Schedule appointments and meetings as needed to ensure optimal time management. Monitor vendor insurance and contractor agreements to ensure compliance with legal and company regulations. Requirements Proficiency in Microsoft Office Suite including Microsoft Word, Excel, PowerPoint, and Outlook Experience with answering inbound and outbound calls in a professional manner Strong customer service skills and ability to handle inquiries effectively Ability to perform high-volume data entry with accuracy and efficiency Familiarity with DocuSign and PDF software for document management Experience with email correspondence, managing and scheduling appointments Demonstrated ability to maintain confidentiality and handle sensitive information Familiarity with real estate and property industry is advantageous Excellent organizational skills and ability to prioritize tasks Strong interpersonal and communication skills Ability to work independently and as part of a team.
