Description Robert Half is seeking a highly organized and detail-oriented Document Specialist/ Document Controller to join our team. The ideal candidate will excel at creating, formatting, and maintaining a wide range of documents, reports, spreadsheets, and presentations. They will also be proficient in document transcription files accurately, converting documents to house style, troubleshooting software issues, and interpreting complex briefs from fee earners. Create, format, and update a variety of documents, reports, spreadsheets, and presentations.
Adhere to the organization's house style and templates.
Ensure accuracy and consistency in all documents produced.
Transcription:
Accurately transcribe audio files, demonstrating solid typing skills.
Maintain a high level of accuracy and efficiency in transcription tasks.
Document Conversion:
Convert documents across various packages into the organization's house style.
Utilize firm templates, styles, and schemes for consistency.
Troubleshooting:
Identify and address textual, graphic, and printing issues across all software packages.
Seek solutions to software-related problems and escalate issues when necessary.
Fee Earner Support:
Interpret complex briefs from fee earners and produce documents within specified deadlines.
Seek clarification when necessary to ensure accurate results.
Creative Presentations:
Support creative presentation requests in PowerPoint, following template guidelines.
Ensure visually appealing and professional presentations.
Prooing and Quality Checking:
Thoroughly proo and quality-check all work to ensure accuracy and high standards.
Verify that edits are logically and grammatically sound.
Adherence to Working Practices:
Follow established working practices for the department.
Maintain excellent organizational skills to manage tasks and deadlines effectively.
Technical Skills and Troubleshooting:
Ensure own technical skills are up-to-date, including a deep understanding of the firm's global document templates.
Troubleshoot document technical issues, including using clean-up software such as DocXTool, and perform "health checks" on documents as required.
Assist fee earners and other internal clients with technical queries in all relevant software packages via telephone, proxy services, or email.
Requirements
Key Requirements:Document Production Experience:
Previous document production experience in a legal environment or advanced Microsoft Word skills gained in a document production role in other sectors.
Technical Proficiency:
An advanced level of skill in all Microsoft Office packages, with a particular emphasis on Microsoft Word.
Proven experience in leading project teams related to document production.
Problem-Solving and Troubleshooting:
Demonstrated problem-solving and troubleshooting skills, especially in resolving technical issues related to document production.
Flexibility and Proactivity:
A flexible and proactive approach to work, with a willingness to challenge and improve existing processes.
