HVAC Customer Service Representative / Dispatcher (Remote)

Location: Remote – Must have a quiet, reliable home office setup

Hours: Monday to Friday, 9:00 AM – 6:30 PM (45 hours/week, 30-minute unpaid lunch)

About the Role:

Heating and Cooling Repair & Install and Refrigeration is a fast-paced, high-demand HVAC company servicing both residential and commercial clients. We’re looking for a smart, reliable, and responsive Customer Service Representative who can manage a steady flow of incoming leads, customer inquiries, and appointment scheduling.

This is a full-time position. You must not have any other job during these hours. We are building a performance-based team where base pay is supplemented with bonuses for lead response, attendance, and company performance.

Key Responsibilities:

Answer incoming calls, texts, and emails quickly and professionally

Accept new leads through our app and call customers back within 30 to 60 seconds

Schedule HVAC service appointments and update job information accurately

Communicate clearly with both customers and technicians

Speak confidently using HVAC terms like compressor, evaporator coil, contactor, capacitor, blower motor, condenser, and thermostat

Use tools like Jobber, Monday.com, Google Sheets, and Excel for scheduling and tracking

Monitor and respond to off-hour leads (outside of 9 AM–6:30 PM) — earn a bonus for each one booked

Promote maintenance membership plans when appropriate

Hit weekly KPIs for response time, job accuracy, and schedule management

Requirements:

Must be smart, organized, and ready to learn HVAC terminology

Excellent communication and phone skills

Must own a smartphone that can run our lead app and place calls quickly

Quiet home office setup with reliable internet and electricity

Dual-monitor setup preferred for efficient multitasking

Comfortable with software like Jobber, Monday.com, Google Sheets, and Excel

Must be able to work independently — no other jobs allowed during working hours

No weekends or evenings required, but must be available to respond to leads that come in after hours

Compensation:

Competitive base pay

Weekly bonuses for hitting attendance and performance KPIs

Bonus for every off-hour lead booked

Additional company-wide performance bonuses
