Reports to: Senior Specialist – PlanningDirect Reports: NoneInternal Customers: Planners, Maintenance Execution, Supply Chain, Reliability, OperationsExternal Customers: Vendors, OEMs, Warehouse Personnel, ContractorsThe Parts Coordinator will be responsible for the binning and staging of maintenance work, ensuring that all required materials, tooling, and documentation are gathered and verified ahead of execution. This role serves as a key link between the planning team and the warehouse, improving planning readiness and reducing delays due to missing or misallocated materials. Reporting to the Planning Supervisor, the Parts Coordinator will actively review job packages, source missing items, confirm material availability, and support inventory rationalization efforts by identifying redundant or obsolete parts. They will also maintain a clean and organized staging area, monitor parts movement, and participate in continuous improvement initiatives related to procurement, kitting, and shutdown preparation. By ensuring jobs are fully staged prior to execution, the Parts Coordinator plays a vital role in increasing schedule adherence, improving wrench time, and supporting the effectiveness of the broader planning function.Key ResponsibilitiesReview planned work orders and identify all required parts, materials, and tooling.Coordinate with the warehouse team to locate, pick, and move materials to staging areas.Verify material readiness against the job scope and planner notes before execution.Tag, organize, and maintain staged kits in a clean and logical manner for technician pickup.Communicate material shortages or procurement delays to the planner and supervisor.Participate in BOM reviews to ensure accurate and complete materials listings.Flag redundant or obsolete materials for review and potential removal from inventory.Support emergency jobs by fast-tracking material staging with planners and warehouse.Attend weekly scheduling meetings to understand upcoming work and prioritize staging.Collaborate with planners to resolve discrepancies in job packages related to materials.Track and update staging metrics such as percent jobs ready, staging cycle time, and returns.Liaise with external vendors to clarify part specifications and delivery schedules.Ensure safety and orderliness of the staging area, including proper labeling and storage.Return unused parts to inventory and reconcile staged kit records post-job execution.Improve staging efficiency through layout optimization, labeling standards, and 5S practices.Support shutdown and outage preparation by prioritizing staging of critical-path jobs.Develop standard staging procedures and contribute to planning process documentation.Audit staged jobs for completeness and report gaps to the Planning Supervisor.Help planners and warehouse staff trial new kitting or staging tools and processes.Identify and resolve systemic issues in the staging process that impact schedule compliance.
