DESCRIPTION/RESPONSIBILITIES:

Position Description

The Operations Administrator performs various clerical and administrative functions required to support the Norse Gas Pipeline Business Unit, reporting to the Operations Supervisor.Essential duties and responsibilities:

Coordinate monthly accrual, forecasting and variance reporting on a rolled up area basis for approximately $10.8 million dollar annual OandM spend and $1 million dollar annual Capital spend.

Facilitate the preparation of operating and capital budgets to ensure the necessary materials, supplies, equipment, and personnel for operations support. Regularly analyze and review to determine requirements for improving efficiency.

Work with Area Supervision to optimize operational efficiencies, utilization of resources, and team based management principles.

Responsible for vendor setup and assisting with resolving vendor issues.

Monitor and refine processes and procedures to more effectively utilize the skills and abilities of administrative support personnel.

Coordinate/participate in the design and implementation of new administrative support mediums including documentation, databases, and facility utilization.

Ensure that good relations are maintained with internal/external customers.

Prepare invoices and enter into Lawson accounting system.

Generate contracts, prepare general service agreements, work directives and request for services or materials.

Time sheet review and entry into the HBS payroll system, maintain records including tracking of lost time, vacations and other employee records.

Data entry for training records into the OQ ISNetworld program and tracking of company fleet vehicles.

Actively participate in safety programs and initiatives.

Maintain filing system for general office and DOT forms.

Generate requisitions and do receiving in Lawson Procurement System.

Reconcile and enter individual expense report coding into Lawson software.

Inventory management including issuing, transferring, and auditing stock.

Identify, report and correct safety and environmental concerns.

Job level commensurate with experience and skill set.
