Description We are in search of an Administrative Assistant to become a part of our team in the non-profit sector, situated in Cincinnati, Ohio. This role involves a multitude of administrative tasks, customer service, and office management duties. This role offers a contract to hire employment opportunity. Responsibilities: Professionally answer and redirect phone calls, ensuring accurate messages are taken and questions are answered. Engage with clients to determine the purpose of their inquiry and provide accurate information in-person or via phone/email. Ensure the front reception area is maintained and presentable. Address and resolve client inquiries and concerns, performing necessary follow-up tasks to meet client needs. Welcome visitors and guests, ensuring they are properly checked in. Oversee the distribution and sorting of incoming mail and packages, and manage outgoing mail as needed. Maintain a comprehensive understanding of the organization’s policies, principles, strategies, and programs, and stay updated with relevant developments. Manage the organization's events calendar, including syncing events and meeting rooms. Document clients’ needs and information thoroughly and forward necessary information to the appropriate staff. Maintain office security by adhering to safety procedures and controlling access via the reception desk. Manage and maintain records and files. Coordinate facility rentals. Manage a variety of administrative tasks, including managing calendars, completing expense reports, composing and preparing confidential correspondence, and arranging travel and meeting plans. Research, prioritize, and follow up on incoming issues and concerns addressed to the Executive, including those of a sensitive or confidential nature, and determine appropriate course of action, referral, or response. Facilitate smooth communication between internal departments, maintaining credibility, trust, and support with senior management staff. Work closely with the executive to keep them well-informed of upcoming commitments and responsibilities, providing appropriate follow-ups. Manage client inquiries through inbound and outbound calls, and maintain correspondence via email. Use Microsoft Excel and Microsoft Word to maintain client records and schedule appointments. Requirements Proficiency in Microsoft Excel and Microsoft Word Experience in data entry and maintaining databases Ability to manage inbound and outbound calls effectively Excellent customer service skills and experience Proven ability to schedule appointments and manage calendars Experience in answering inbound calls in a professional manner Proficiency in email correspondence and managing professional communication Experience in a non-profit environment is advantageous Strong organizational skills and attention to detail Ability to work independently and as part of a team Excellent written and verbal communication skills.
