Summary

The Project Administrative Assistant is responsible for assisting in analyzing the financial performance of the business and supporting operations. This position will report to the Operations Manager and work with the finance department to ensure timely processing of billing, reporting, and collecting. The right candidate will have a desire to learn, grow, and fully understand how their role positively impacts the organization. This person will have a passion to help others understand their financial performance and what decisions can help to create a sustainable outcome for their business.

Key Responsibilities:
  • Act as a liaison between sales and operations.
  • Maintain information within databases
  • Support accounts receivable by completing timely invoicing and validating time and material accounts
  • Review and process labor and supply budget changes for the operations department
  • Management of change orders and PO's
  • Assist in the month-end accounting closing process, including accruals
  • Tracking of AIA's and prevailing wage documentation
  • Creating reports/meetings for the operations department to review their performance weekly
  • Assist in collections of receivables
  • Supports business needs and financial success by performing additional duties determined by the Operations Manager or the Finance department.

Qualifications
  • Associates degree in Business, Finance, or Accounting
  • 1 year of applicable experience
  • Advanced Excel and Adobe proficiency is required
  • PowerPoint proficiency preferred
  • Analytical / Strategic Thinking
  • Understanding of Accounting Principles and Practices
  • Construction administration experience preferred but not required
