POSITION TITLE: Office Coordinator – Urgent CareSTATUS: Full Time (RF Status - 80 Hours/Pay Period)DAY/SHIFT/HOURS: Monday- Friday 8am-5pm,Evenings or weekends possible to cover call-offsJob Profile Summary:The Office Coordinator will be responsible for the over sight of office operations. This position includes but is not limited to assisting providers with patient care and handling clerical, environmental and organizational tasks as needed. The Coordinator will perform all other duties as assigned.Job Responsibilities:This role serves both administrative and clinical functions within the practice setting. Specifically, this role will split its time between clinical operations and administrative duties.
Oversees the day to day operations, team scheduling, PTO approval, and daily maintenance of the time keeping system.
Responsible for oversight of staff performance and policy procedure compliance, including the administration of discipline up to verbal warnings. Handle disciplinary actions above verbal warnings in partnership with the Clinical Operations Manager. Provides feedback to Manager on difficult or sensitive issues and operational enhancements or ideas.
Provide Monthly operational reports to Clinical Operations Manager.
Interviews new staff alongside Operations Manager and trains all new employees.
Maintains equipment, examination areas, and medical supplies, including reordering, stocking, cleaning and troubleshooting.
As needed, this role will support clinical/clerical staff during high volume periods and call-off situations
Responsible for staff education and implementation of practice policy and procedures.
Responsible for Time Management Delay Communication efforts with patients and family members.
Demonstrates effective, efficient use of the Practice Management and Electronic Medical Record systems in the office.
Demonstrates positive, courteous, interpersonal relations and acts as a role model of customer service and professional tone in all communication.
Acts as the first line of conflict resolution for scenarios involving providers, staff and/or patients/care givers
Provides Patient Education and demonstrates ability to answer questions or contact provider concerning patient inquiries about ongoing care/treatment.
Collaborates with and works closely with appropriate CCUH Organizational staff to ensure efficient integration of operations between office and hospital clinical operations.
Works in conjunction with Health Navigator (when appropriate) on managing and updating the office communication boards, monitoring office quality, and performance metrics.
Participates in quality initiatives, process improvements, and research activities to improve patient outcomes, patient experience, and patient safety.
Other duties as assigned.
Education:Must be a graduate from an approved Medical Assisting Program. (As designated by the Enterprise MA Steering Committee)
Military training as a Hospital Corpsman (HM), Combat Medic (68W) or Medical Service Technician (4N0X1) will be considered.
Certifications:MA certification preferred.
Basic Life Support (BLS) through American Heart Association (AHA) required within new hire period.
Complexity of Work:Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
Must be able to work in a stressful environment and take appropriate action.
Professional behavior/appearance required, ability to focus on patient safety, teamwork, patient outcomes, patient experience and quality improvement.
Knowledge of professional nursing theory and practice to give and evaluate patient care.
Strong communication and interpersonal skills.
Work Experience:Minimum one year recent experience as an MA or in a related leadership role.
Physical Requirements:Requires full range of motion, manual and finger dexterity and eye-hand coordination.
May requires some exposure to communicable diseases or bodily fluids.
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly
Personal Protective Equipment:Follows Standard Precautions using personal protective equipment as required.
