Our surgical coordinators and schedulers are the heart of our practice – they are the first and last impressions to be made on our patients. Our front office team plays an essential role in helping the operations of the office run smoothly, deliver best-in-class patient care, and ensures accurate and complete surgical scheduling for all our practice doctors and hygienists. Our surgical schedulers are responsible for the ownership of the entire surgery schedule, handling any appointment changes or cancellations, and collect and document patient payments. By joining our team, you will have:Work Life Balance (Mondays 8am-5:30, Tuesday and Thursday 6:40am-5pm, Wednesday 6:40am-4pm, occasional Fridays 7:45am-2pm)3 weeks PTO & 8 Paid HolidaysPaid Parental LeaveMedical/Vision/Dental Benefits401k MatchProfessional Growth and Career Advancement OpportunitiesKey ResponsibilitiesGreets patients, assists patients with completion of required forms as needed; obtains and documents patient insurance information as needed; assists the front desk as needed to ensure the telephone is always answered promptly by answering the telephone before the third ring; tracks reason for telephone call, including referral, new patient, insurance or other reason.Schedules all surgical patient appointments and anesthesiologists for these appointments; schedules other patient appointments on occasion, according to agreed upon procedures and time allotments using the ideal schedule template; schedules patients within two to four days of their initial call when possible; educates patients about the value of their appointment times in order to minimize cancellations; reschedules patients that fail to show for their appointments no sooner than within a two-week time frameCalls to confirm surgical appointments and amounts owed one week prior to scheduled surgery appointment; calls to confirm other patient appointments as needed; completes patient chart reviews for surgery appointments one week before appointment to ensure patient charts are complete and accurate.Calls patients with appointments to advise them when the practice is running late or early; informs clinical teams if patients are running late; tracks patients who call to cancel or fail to show up.Updates the current day's schedules and advises team members on surgical schedule issues as needed; maintains a short list of patients and proactively makes calls to fill the surgical schedule appropriately when openings/cancellations occur.Collects payments from patients on same day of surgery; prepares daily log of patient payments collected to provide to insurance coordinator at the end of each day; confirms accuracy of route slips by cross referencing with scheduled treatment; posts completed treatment in patient transactions; scans patient documentation into patient chart; notifies accounting manager of any credit balances requiring a refund or any past due balances.Comes to huddle prepared by documenting on huddle agenda spreadsheet designated daily information; ensures daily surgery production goals are met for surgeries; completes office “end-of-day” routines, including completing and submitting daily reports.Acts as a back-up for Treatment Coordinators to be able to prepare and present treatment to patients.
