Description We are looking for a proactive and detail-oriented Administrative Coordinator to provide administrative support to our team. The ideal candidate will be highly organized, possess excellent communication skills, and have the ability to multitask in a fast-paced environment. This role will involve a variety of tasks, including answering phones, assisting with administrative duties, supporting sales efforts, and providing on-site operational support as needed.PART TIME HOURS: Monday - Thursday from 10am-3pmResponsibilities:

Serve as the first point of contact for incoming calls, providing excellent customer service and directing calls to the appropriate team members.

Assist with various administrative tasks, including but not limited to data entry, filing, and document preparation using software such as Excel, PowerPoint, and other office tools.

Support operations team with administrative duties such as scheduling, coordinating meetings, and maintaining records related to fleet equipment.

Assist in the preparation of estimates and bids for landscaping projects, ensuring accuracy and timely submission.

Provide support to team members with expenses, including helping with recording and tracking expenses in relevant software.

Open, sort, and scan incoming mail, distributing it to the appropriate recipients as needed.

Maintain accurate records related to fleet equipment, including maintenance schedules, inspections, and repairs.

Assist with the preparation of sales presentations, proposals, and other materials to support the sales team in their efforts to acquire new clients and projects.

Provide on-site support to operations managers as needed, assisting with various tasks to ensure smooth project execution.

Generate and process purchase orders for materials and supplies, ensuring accuracy and compliance with company policies.

Draft and send letters, emails, and other communications on behalf of the company, maintaining a professional and courteous tone.

Requirements

Previous experience in an administrative role, preferably in a similar industry (landscaping, construction, etc.).

Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.

Strong organizational skills and attention to detail.

Excellent communication skills, both verbal and written.

Ability to prioritize tasks and manage time effectively in a fast-paced environment.

Experience with expense management and record keeping is a plus.

Flexibility to provide on-site support as needed.

High school diploma or equivalent; additional education or certifications are a plus.
