About the Role:

We are seeking a reliable and detail-oriented Administrative Assistant to support our operations in an engineering labor company. This position plays a key role in keeping our field technicians on task and our operations running smoothly.

Key Responsibilities:

Create and manage daily agendas for technicians

Coordinate job schedules and monitor technician check-ins/check-outs using IVR systems and service applications

Communicate with technicians throughout the day via text and phone calls

Perform clerical tasks such as filing, data entry, document management, and customer follow-ups

Utilize software like Microsoft Office (Excel, Word, Outlook) and Adobe (PDF editing, form creation, etc.)

Track and report job progress, delays, or issues to supervisors and management

Maintain organized records of jobs and technician performance

Requirements:

Previous administrative experience, preferably in a construction, labor, or engineering-related field

Proficiency in Microsoft Office Suite and Adobe Acrobat/Creative Suite

Excellent communication and time-management skills

Familiarity with IVR (Interactive Voice Response) systems and mobile service apps

Strong organizational and multitasking abilities

Ability to work in a fast-paced, deadline-driven environment

High school diploma or equivalent (Associate degree preferred)

Preferred Skills:

Experience supporting field staff or technical teams

Bilingual (Spanish/English) is a plus

Knowledge of scheduling software or dispatch systems
