Under general supervision of the Information Technology Director and/or IT Manager, the IT Administrative Analyst will be responsible for a variety of day-to-day administrative responsibilities supporting the Police IT unit.  Assignments will include compiling and analyzing data and coordinating multiple concurrent activities; providing confidential technical and administrative support to the Director and/or Manager; and establishing significant knowledge of organizational policies, procedures and practices. This position will be responsible for: 
- Budgetary and Procurement Support for the Police IT Budget in coordination with Public Safety-level numbers and OIT partners. 
- Asset Management Support for proper entry and documentation of new assets.
- Inventory Support to track and maintain incoming and outgoing IT inventory including software and hardware 
- Provides support for PPD-IT initiatives as needed.
Essential Functions    Tracks, updates, and maintains Police IT Budget figures from various funding sources
    Review procurement requests against budgeted items to ensure consistency
    Handles IT Procurement goods and services requests through completion of purchase
    Receives vendor invoices and ensure order has been completely fulfilled
    Completes OIT PER documentation upon receipt of new hardware/software assets.
    Tracks and maintains incoming and outgoing IT inventory, coordinates disposal of aged and out of warranty equipment
    Follow up with internal and external managers to obtain approval of invoices
    Work with vendors to obtain required documentation in order to facilitate and expedite procurement and payment process, as necessary.
    Type articles, form letters, memoranda from copy or rough draft 
    Sort and file correspondence and other materials 
    Operate general office equipment
    Assist management and staff with various projects 
    Create and maintain Microsoft Word and Excel documents
    Creates regular correspondence letters and emails for Director
    Planning, monitoring, and working with software license and hardware assets to ensure compliance with vendor contracts and OIT policies
    Multi-task in time-sensitive situations with frequent interruptions and a high degree of public contact
    Establish and maintain working relationships with associates, administrative officials and departmental officials within City government.
    Participate in developing department goals, objectives, and systems
    Prepare various periodic reports as assigned
    Various administrative duties as assigned 
    Schedule mandatory training for departmental employees 
    Other duties as assigned
Competencies, Knowledge, Skills and Abilities    Evaluate the effectiveness of administrative functions and implementing changes to provide for more effective and efficient operations
    Basic understanding of administrative procedures and philosophies for local government
    Working knowledge of Microsoft Office, including Word, Excel, and PowerPoint
    Skills in database management, query, and reporting
    Strong oral and written communication skills
    Must be able to work in a confidential work environment
    Work either as part of a team or individually
