Job Description

You are a key component of our fast-paced company! We have lots of moving parts, and we need someone to help us keep the office running at full steam. You thrive in a mildly chaotic environment where your organizational skills and ability to find efficiencies is celebrated!You’ll be doing a little bit of everything – office management, AR/AP, onboarding and scheduling - swiftly changing priorities while remaining calm. Spend your days:

  • Managing and organizing the day-to-day operations of a fast-paced office, ensuring things are running efficiently – office management, admin support, accounting, and light HR
  • Recording and processing invoices, purchase orders and reconciling accounts in QuickBooks – general AR/AP
  • Scheduling and coordinating service calls, inspections and materials ensuring complete customer satisfaction
  • Assisting HR with onboarding, payroll and employee data
  • Making sure the team has everything they need to get their jobs done – anticipating their needs, listening for potential obstacles and clearing them in advance
  • Providing agile support for the President and CEO – starting zoom calls, organizing documents, and planning meetings and events
  • Establishing efficient processes and systems that keep us operating at peak levels
  • Jumping in to help wherever you can to maintain an effective organization where everyone can focus on their strengths!

Qualifications

What you’ll bring with you:

  • Bachelors or associates degree in business administration, accounting or related field
  • At least 2 years of experience as an office manager in a startup or professional services firm with accounting responsibilities
  • Excellent communicator and understand that that includes being a good listener
  • Exceptional organizational skills – you consistently anticipate what’s happening next and always have a backup plan
  • Superior command of MS Office, QuickBooks, Google, and other office productivity apps
  • A sharp mind capable of handling multiple, sometimes competing, priorities without breaking a sweat
  • our energy and positive demeanor bring light into the office every day!

Additional Information
