Description Robert Half is working with a local non-profit organization who is looking for a temporary Bilingual Receptionist to assist their team for a few months. This role is pivotal to their operations, offering administrative support and customer service in a bustling environment. The successful candidate will be the first point of contact, both in-person and via phone, and will also assist with scheduling appointments and resolving client inquiries. Responsibilities:

Manage a multi-line phone system, handling internal and external calls.

Welcomes all guests, assesses their requirements and guides them to the relevant individuals. Ensures that guests sign in and are given a visitor's badge as needed.

Manages and sorts all incoming communication from the Postal Office and internal mail. Handles all outgoing mail, applies correct postage through the postage machine and maintains regular postage reports.

Creates and duplicates reports, forms, letters, and other company-related materials.

Keeps relevant records in check including monthly photocopying totals, stationery stock, and postage usage.

Undertakes specialized tasks such as assembling documents, laminating, stapling, and labeling accordingly.

Sends out and logs all outgoing faxes, also records and disseminates all incoming faxes.

Participates in managerial meetings, staff gatherings, and training programs as needed.

Oversees front desk deliveries; accurately monitors receipt and processes items for delivery.

Requirements

Required Skills and Qualifications:

Fluent in Spanish and English preferred

Minimum of 1-2 years of experience in an office or administration environment.

Strong time management and organizational skills, with the ability to multitask and prioritize effectively.

Strong customer service skills with an ability to handle discrepant situations tactfully.

Knowledge of clerical procedures and systems such as filing and record keeping.

Demonstrated ability to meet deadlines and handle pressure situations.

Detail-oriented with a focus on quality and accuracy.

Must be personable and comfortable dealing with a diverse group of people, including staff, clients, and visitors.

Excellent problem-solving skills with a proactive approach to finding efficient solutions to complex issues.
