Your role will be to provide high-level administrative and strategic support to our Senior Vice President, Talent & Culture and the broader senior T&C leadership team.  Naturally proactive, you will ensure seamless coordination and execution of their daily activities. As a trusted partner, you will be managing schedules, communications, and supporting on projects to optimize the executive's effectiveness.Key Responsibilities:Administration:Manage the SVP’s calendar and travel arrangements, ensuring efficiency across time zonesPrepare agendas, take minutes, and organize meetings and conferencesCollaborate with the T&C team on reports, presentations, and project coordinationMaintain an efficient e-filing system and handle general office tasksSupport the coordination of T&C projects and eventsCompile weekly T&C activity reports for the SLTCommunication:Manage calls, emails, and inquiries, acting as the SVP’s first point of contactBuild and maintain relationships with internal and external stakeholdersPrepare and send communications to properties and business unitsEnsure timely follow-up on action itemsFinancial Administration:Process invoices and expense claims (using Concur)Liaise with the finance team and other internal departments with regard to payments, recharging, approvals or enquiriesKey Skills & Attributes:Strong knowledge of Microsoft Outlook, Office, and ExcelAbility to manage complex scheduling across time zonesExcellent organizational, time management, and multitasking skillsStrong interpersonal and communication skillsAbility to handle sensitive information with discretionService-oriented with a keen eye for detailFlexibility to adapt to changing priorities and needsStrong teamwork skills and the ability to collaborate effectively with diverse groups
