Description We are offering a contract to hire employment opportunity for an Administrative Specialist in the Healthcare, Hospitals, and Social Assistance industry. The role is based in Memphis, Tennessee and will be instrumental in managing a variety of administrative tasks in our government affairs office. The successful candidate will be part of a team that deals with a high volume of scheduling, travel arrangements, and customer service.Responsibilities: Manage heavy scheduling for meetings and travel, ensuring efficient use of time and resources. Arrange travel itineraries, including booking accommodation and transportation, for staff. Process expense reimbursements accurately and promptly. Handle Outlook scheduling, ensuring all appointments and meetings are correctly logged. Assist in booking rooms for meetings and other events. Help arrange campus tours for elected officials, coordinating schedules and logistics. Provide customer service, including answering inbound calls and responding to email correspondence. Maintain accurate customer credit records, updating information as necessary. Use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to prepare reports, presentations, and correspondence. Assist with additional responsibilities such as sending out newsletters, as required. Requirements Possess skills in answering inbound calls, handling inbound and outbound calls, and scheduling appointments. Proficient in customer service and email correspondence. Familiar with Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word. Experience in data entry. Knowledgeable in arranging and booking travel arrangements. Experience in handling expense reimbursements. Ability to handle tasks related to booking conferences. Previous experience in the healthcare, hospitals, or social assistance industry would be beneficial. Administrative Specialist title or similar role experience preferred. Must be able to perform duties ethically and with professionalism. Ability to work in a fast-paced environment and handle multiple tasks. Excellent verbal and written communication skills. Strong organizational skills and attention to detail.
