Description We are looking for a Sr. Administrative Assistant to join our non-profit team based in CHATTANOOGA, Tennessee. This role is critical to the smooth operation of our organization, offering vital support to our executive leadership team. The Sr. Administrative Assistant will manage administrative tasks, coordinate schedules, and facilitate effective communication within the organization and with external stakeholders. This position offers a contract to hire employment opportunity.Responsibilities: Provide comprehensive administrative support to the executive leadership team Manage and prioritize the executives' calendars, appointments, and meetings Handle phone calls, emails, and correspondence on behalf of the executives Facilitate communication between the executive team, staff members, and external partners Prepare and distribute internal and external communications, including reports, presentations, and memos Coordinate and schedule meetings, conferences, and events Maintain and organize electronic and physical files, ensuring easy retrieval of information Draft, edit, and proo documents, reports, and presentations as needed Arrange travel itineraries, accommodations, and logistics for the executive team Process travel expenses and reimbursements in a timely manner Assist in the preparation and distribution of materials for board meetings Coordinate board meetings, including scheduling, agenda preparation, and minute-taking Support the planning and execution of special projects and initiatives as directed by the executive team Collaborate with other departments to ensure project timelines and deliverables are met Handle sensitive information with the utmost discretion and maintain a high level of confidentiality. Requirements Minimum of 3 years of experience as an Administrative Assistant, preferably in the non-profit sector Exceptional organizational skills Proven ability to manage calendars effectively Strong written and verbal communication skills Experience composing professional letters and correspondence Proven expertise in event planning and coordination Experience coordinating and arranging meetings Proficiency in Microsoft Excel and PowerPoint Ability to handle sensitive information with discretion and maintain confidentiality Demonstrated ability to work independently and as part of a team Experience working in a fast-paced, deadline-driven environment.
