Description We are offering a contract to permanent employment opportunity in the Energy/Natural Resources industry for an Administrative Assistant in Midland, Texas. This role revolves around supporting management and employees with daily office needs and overseeing the company's general administrative activities. Responsibilities: Manage and direct incoming phone calls to appropriate staff members Organize and schedule appointments as required Maintain and restock office supplies in all copy rooms File crucial documents such as paid invoices, W-9s, insurance papers, and credit applications Craft and distribute email correspondence, memos, letters, faxes, and forms Assist in the creation of regularly scheduled reports Develop and maintain an efficient filing system Oversee inventory and order office and break room supplies and groceries for the Midland facility Manage the cleanliness of the kitchen area and trash removal tasks Handle company event planning tasks Maintain reception area to ensure safety and hygiene Serve as the point of contact for both internal and external clients Manage incoming and outgoing packages and mail Assist in managing vehicle maintenance and inspections for office vehicles Maintain office floor plan and updates with new employees. Requirements Proficiency in answering inbound calls and managing phone lines with excellent phone etiquette. Strong customer service skills, including handling phone inquiries, customer service software, and email correspondence. Experience in data entry and ability to use Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Capable of managing both inbound and outbound calls effectively. Ability to schedule appointments, manage vendor relationships, and perform vendor relations tasks. Experience in restocking and managing supplies. Expertise in operating multi-line phone systems, including answering multi-line phone system, managing phone coverage, and handling phone messages. Organizational capabilities, including organizational management, setting organizational objectives, and organizational planning. Excellent organizational skills with the ability to prioritize tasks effectively. Strong communication skills, both verbal and written. Experience in performing clerical duties in a detail-oriented setting.
