Description We are offering a long-term contract employment opportunity for an Administrative Assistant, based in Galveston, Texas. The role involves a variety of administrative duties, from processing payroll to conducting research, and requires a high level of organization and detail-orientation. Responsibilities: Provide backup support to the Payroll Specialist. Keep staff personnel records up to date, including distribution, collection, and updating of records as necessary. Create and maintain an efficient filing system. Prepare complex reports, compile data, and provide various analyses. Conduct research for projects and special assignments. Manage procurement and purchasing activities, including creating and approving requisitions, monitoring purchase orders, researching and selecting vendors, obtaining vendor quotes, and managing vendor relationships. Welcome residents and other visitors, determine the purpose of their visit and provide exceptional customer service. Support new permanent orientations, open enrollment and various HR activities. Handle incoming phone calls, provide information, and/or route calls to the appropriate staff member. Receive and distribute inter-office and postal mail. Organize travel arrangements for staff and make necessary purchases. Provide staff support to various committees and task forces, provide logistical services, and take and transcribe meeting minutes. Order office supplies, materials, and equipment. Answer inbound calls, handle customer service queries, and manage email correspondence.Requirements Proficiency in answering inbound calls and managing inbound/outbound calls is crucial. Strong customer service skills are required. Capable of performing data entry tasks with accuracy. Ability to handle email correspondence efficiently. Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word. Ability to schedule appointments and manage calendars effectively. Previous experience in a government setting is preferred. Excellent communication and interpersonal skills are required. Strong organizational skills and the ability to prioritize tasks effectively. Ability to maintain confidentiality and handle sensitive information with discretion.
