This role is an exciting opportunity to work alongside a diverse and dynamic Team and Family. This position supports the KIPP Texas Public School's People backend systems and data across the life cycle: recruitment, selection, onboarding, development, recognition, and termination; and achieving KIPP Texas strategic business objectives. As a member of the KIPP Texas people team, you will support the processes and operations, administer people applications and systems, and always look for ways to improve central services. You champion a culture of continuous improvement and data-driven decision-making by increasing employee accessibility to answers and information.

The Applicant Tracking System (ATS) Administrator supports the people team by being responsible for setup, maintenance, configuration, reporting, and reliable operations of the Talent and Recruiting systems. This position is also responsible for data quality, predictive analytics and development and generation of reports, dashboards, and scorecards.

Duties and Essential

Job Functions:[1][2][3]

  1. Support the Talent Recruiting backend operations (systems and processes)
    1. Keep roles active in KIPP Careers (Smart Recruiters and VidCruiter) and external Job boards
    2. Support the systems setup of new school year and hiring season including email templates, screening questions, data reporting and others
    3. Assure that new employees have access to the systems on time including new Talent Recruiting team members.
    4. Develop and facilitate training and develop training, to include documentation for end-users and other stakeholders.
    5. Review and assure that open roles are accurate in KIPP Careers, other external job boards and internal dashboards
    6. Provide system support to recruiters and Hiring managers
    7. Identify system issues, and provide options to solve issues focus on increasing automation, efficiency and service improvement
  2. Manage maintenance, configuration, permissions, upgrade, and reporting. Ensure reliable operations of the Applicant and Recruiting system administration (Smart Recruiters, VidCruiter, Cornerstone and others):
    1. Develop system performance operation metrics including uptime, and data accuracy. Provide tangible examples of progress/improvement.
    2. Keep up-to-date knowledge of the system and gather best practices from other organizations (benchmark). Provide recommendations to improve services.
    3. Gather requirements, test current and new features and implement system/configuration changes,
    4. Understand customer needs, and requirements and gather customer feedback to improve services.
    5. Troubleshoot system issues for specific employee or employee groups and work with vendor, other systems, and team to solve and determine root causes to be solved
    6. Open, track and solve customer system tickets with vendors and other stakeholders including Finance, IT (KIPP Texas and KIPP Foundation), HR, Payroll and others.
  3. Ensure 100% of People data accuracy and alignment (Smart Recruiters, VidCruiter, Cornerstone, ADP and others).
    1. Develop reports to identify and track data accuracy issues throughout the process. Conduct weekly data accuracy audits, identify issues and communicate results to stakeholders.
    2. Create, maintain, monitor and report new and existing data. Align information with other central teams including Finance, HR, Payroll and others to keep data accuracy including position changes (promotion, reclassifications).
    3. Identify data quality issues. Identify root causes and develop action plans to improve it systematically.
    4. Analyze data, compare with historical information, and provide insights. Develop a Data Governance plan.
    5. Keep all stakeholders informed of opportunities and action plans and execution
  4. Support the People backend operations (systems and processes)
    1. Support the setup for new school year and Employee cycle in the People systems including Cornerstone, ADP and others
    2. Develop and facilitate training,to include documentation for end-users and other stakeholders.

Required Education and Experience:

  • Bachelor’s degree required from an accredited institution.
  • Three or more years of experience with Information Systems administration including recruiting, hiring, and onboarding.
  • Experience in People system development and implementation, including business analysis, requirements gathering, system testing and others
  • This position requires excellent skills in verbal, written, and interpersonal communications.

Preferred Education and Experience:

  • Preferred Experience in development, generation, and reporting of data analytics, insights, and visualization, scorecards, dashboards
  • Preferred Experience in developing and implementing data quality governance and data quality management processes
  • Preferred experience in central People functions including recruitment, selection, onboarding, development, recognition, and termination
  • Preferred experience in K-12 education or Charter Management Organization (CMO)
  • Preferred experience working in a central office supporting multiple sites, locations, and regions with different needs and requirements

Preferred Licensure/Certification/Specialized Training:

  • Preferred experience using SmartRecruiters or similar Applicant Tracking Systems (ATS).

Knowledge, Skills & Abilities:

  • Strong understanding and ability to use Excel or other data tools to analyze data and provide appropriate visualizations and insights.
  • Ability to work across diverse teams in flexible and dynamic organization
  • Strong customer service and influence skills, ideally with experience supporting on site and remote stakeholders in multiple locations
  • Strong understanding of process flow in integrated and automated systems.
  • Excellent problem solving and judgment skills with a high level of attention to detail and accuracy.
  • Ability to manage multiple projects and tasks with imminent deadlines.
  • Strong written and verbal communication skills, ability to train users across the organization in multiple sites, and functions
  • Strong ability to work on multiple tasks and projects at the same time and provide guidance to multiple users to plan and implement projects
  • Strong analytical experience to manage multiple databases, identify potential issues and set the system in an effective and efficient way.

  • Typical office environment with frequent interruptions in a remote/virtual or physical location
  • This role can be based in the following locations with KIPP Texas Public Schools: Austin, Dallas-Fort Worth, Houston, or San Antonio
  • Some evening and weekend work may be required for testing and troubleshooting.
