Job Overview:

We are seeking a trustworthy and detail-oriented Executive Admin to provide administrative support to the owner of a small but established professional services company in IT. The successful candidate will manage the owner's personal and professional calendar, coordinate travel arrangements, manage invoicing and payments, run email campaigns and social media messages, attend phone calls, and accompany the owner to client meetings when required.

Key Responsibilities:

Manage and maintain the owner's personal and professional calendar

Coordinate travel arrangements, including booking flights, accommodation, and transportation

Manage invoicing and payments, ensuring timely payments and proper record-keeping

Run email campaigns and create social media messages to support the company's marketing efforts

Attend phone calls and respond to emails on behalf of the owner

Accompany the owner to client meetings and take minutes when required

Ensure that all administrative tasks are completed accurately and on time

Manage and organize paperwork and files

Assist with the preparation of reports, presentations, and other documents using Microsoft Excel and PowerPoint

Undertake any other administrative duties as assigned by the owner.

Qualifications:

At least 3 years of experience in an administrative support role, preferably in a small business environment

Proficient in Microsoft Excel and PowerPoint

Excellent communication skills, both written and verbal

Highly organized and detail-oriented, with the ability to manage multiple tasks simultaneously

Knowledge of basic bookkeeping principles, including invoicing and payments

Familiarity with email marketing campaigns and social media messaging

Willingness to be flexible and work outside of regular business hours when required

Ability to maintain confidentiality and be discrete when handling sensitive information.

Reporting:

The Executive Admin will report directly to the owner of the company.

Working Conditions:

This is primarily a work-from-home position, with working hours of 9 am to 5 pm, Monday to Friday. However, flexibility with working hours may be required, particularly when traveling or attending client meetings. The position may require occasional work outside of regular business hours. The Executive Admin will work from the company's office in Sugar Land one day a week or as required.
