We are seeking a highly experienced and polished Executive Assistant to provide proactive and strategic administrative support to the Vice President of Acceptance Solutions. This role requires exceptional organizational and communication skills, strong judgment, and the ability to operate effectively in a fast-paced, dynamic, and confidential environment.As a trusted partner to the VP and leadership team, you will manage day-to-day operations, coordinate across multiple stakeholders, and anticipate needs to ensure the organization runs smoothly.What you'll do:Primary function consists of providing general administrative support to the departmentAct as a liaison, problem solver, and facilitator for the leader and departmentEstablish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contactsProvide support for site management and other senior leadership, including ones travelling to BellevuePerform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution listsHelp plan onsite and offsite team meetings and events, including coordinating conference room set-up, catering, A/V, and other logistical arrangementsProvide on-location support for team activities such as group meetings and team outingsManage local snack program, including coordinating vendor deliveries, placing orders, stocking and cleaning the stationCoordinate on-boarding of new employees and contractors, and associated trackingWorking with facilities to assist with space management, workspace move requests and submit facilities work ordersKeep the Acceptance Solutions common areas such as break rooms, scrum areas and meeting rooms tidyAssist with travel arrangements for visiting team members.Assist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activitiesProvide support for miscellaneous projects and initiatives .Create purchase requisitions and assist staff with expense reporting and Finance issuesManage and maintain budget and expense reports This is a hybrid position.
