Job Description:

We’re looking for a highly organized and proactive office administrator to help us manage the daily operations. In this role, you’ll serve as the backbone of our team. If you’re someone who thrives in a dynamic setting and takes pride in fostering a positive atmosphere, we’d love to hear from you.

Job Responsibilities and Tasks:

Oversee and coordinate office operations

Acting as point between vendors, crew leaders, leasing companies, and external partners.

Organize budgets, schedules, team meetings, and events .

Manage office supplies and equipment, ensuring everything runs smoothly and innovates new ideas (and not afraid to implement them)

Assist in hiring new team members, helping to create a safe, welcoming and supportive experience.

Maintain accurate records, including invoices, contracts, and employee documentation.

Develop and implement systems to improve administrative efficiency and communication.

Monitor compliance with company policies

Skills and Qualifications:

Proven experience in office administration, accounting, executive assistance, or related roles.

Exceptional organizational skills and the ability to manage multiple priorities effectively.

Proficiency in office tools and software, including Quick Books Online, Microsoft Office and project management platforms.

Submit payroll weekly

Efficiently handle accounts payable and accounts receivable while implementing budgeting and forecasting

Assist with estimating, technical submittals, and keep up with various certifications.

Excellent verbal and written communication skills

Ability to adapt to changing priorities while maintaining attention to detail.

A high school diploma or equivalent is required; an associate or bachelor’s degree in a related field is preferred.

Bilingual Spanish Preferred

Pay Compensation: $20+/hr starting, based on experience and qualifications.
