Position: Office Administrator
Reports to: Project Manager
Job Description:
As we continue to grow, we are seeking a skilled and dedicated Office Administrator that will make a positive impact on others and deliver excellence. This role is crucial in ensuring a positive and welcoming experience for both employees and visitors.
Responsibilities:
Keeping the front desk/breakroom/office tidy and presentable with all necessary material (pens, forms, paper, coffee etc.)
Greeting and welcoming guests/vendors/employees
Answering questions and addressing complaints
Answering all incoming calls and redirecting them or keeping messages
Receiving letters, packages etc., and distributing them
Preparing outgoing mail by drafting correspondence, securing parcels etc.
Offering customer support
Helping with events (ordering catering and reservations for events)
Overseeing onboarding, pay raise requests, and terminations
Ensuring a high level of communication with Human Resources Department
Coordinating purchase orders and having prober communication with vendors
Qualifications:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proactive and independent with the ability to take initiative.
Must demonstrate enthusiasm, a sense of urgency & attention to detail
Excellent time management skills with a proven ability to meet deadlines.
Ability to maintain confidentiality and handle sensitive information.
Requirements:
Bilingual (English/Spanish) Required
Woman (Enthusiastic/Agreeable/Charismatic)
High school diploma or equivalent.
Proven experience in a receptionist or administrative role.
Proficient with Microsoft Office suite or specifically with Excel.
Previous experience in a Human Resources capacity is a plus.
Associate’s or bachelor’s degree in Human Resources or a related field is a plus.
