The primary purpose of the Procurement Coordinator position is toPerform purchasing activities for PCPF/BC&O and Clinical Engineering, and liaison between the department and procurement regarding procedures, problems and coordination.Coordinates with MDA Warehouse to ensure inventory and supplies are replenished in a timely manner.Maintains work order supplies: assists in setting up carts, preparing/filling orders, and streamlining maintenance operations.Key Function #1Procurement FunctionsCoordinate all purchasing activities and place orders in Resource One for all of PCPF/ BC&O and Clinical Engineering.Process all purchasing requests, Procard and purchase requisitions in a timely manner.Enter purchase order information in checkbook template.Identifies, reports, and resolves supply issues with back orders, over shipments, duplications, inaccurate shipments.Tracks, coordinates, and resolves purchase order issues.Research product information, pricing, and usage for value analysis.Utilizes problem-solving skills to recognize and solve technical problems.Requires judgment and tact when dealing with problems.Oversee all support staff office supply requisition orders.Key Function #2Documentation ComplianceMaintain accurate purchasing records.Audits departmental requisitions to ensure institutional guidelines are followed.Ensures invoice exceptions are researched and resolved according to institutional guidelines.Files purchase order documents within one week of issue date to maintain accurate records.Key Function #3Customer Service and CommunicationContacts vendors for pricing, sourcing, availability, and order placement.Coordinates receiving of goods by interfacing with receiving facilities.Process Return Goods Requests for return to vendor.Provides feedback to all customers (internal and external) on various procurement issues.Troubleshoot all purchasing problems and see them through resolutions.Exhibits professional verbal and non-verbal communication skills.Key Function #4Learning and GrowthUtilizes time in an efficient manner by completing assigned duties.Collaborates and follows up effectively.Implement change to achieve identified team goals.Participate in appropriate educational sessions for MD Anderson Mandatory training as well as professional developmentParticipates in activities of community or professional organizations and may represent MDACC as appropriateKey Function #5Other duties as assignedEmployee is considered ESSENTIAL PERSONNEL for all emergency related events and agrees to fulfill the responsibilities associated with signing the agreement.Projects as requested by Office Manager, Daily Operations, PCPF/BC&O.If assigned, may conduct research on key topical areas and develop targeted presentations for departmental personnel.Other incidental or related duties as requiredHigh school diploma or equivalent. Six years in a general business environment experience. With preferred degree, two years of experience in a general business environment is required.
