Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research, and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees, and the public.SUMMARYThe primary responsibility of the Program Coordinator is to review, report and trend Key Performance Indicators for Ambulatory Access Operations/Business Services and Education. Provide and maintain monthly reports for metrics for Staff Education and other projects. Ensure timely and efficient support for all assigned projects. Maintain knowledge of current departmental initiatives/projects. The Coordinator also provides support for the implementation of departmental programs.The ideal candidate will have extensive Administrative experience, and be proficient in Microsoft Office programs (Excel, Powerpoint, Word).JOB-SPECIFIC COMPETENCIESOral and written Communication· Clearly and professionally communicates information during all department communications. Follow established customer service guidelines and strive to meet all reasonable stakeholder requests.· Completely and accurately captures and documents communications with stakeholders. Captures information using established guidelines for each area while demonstrating appropriate task prioritization and urgency.· Responds to voicemail messages and email communications within one business day and answers phone calls promptly (within 3 rings). Extensive email and communication/computer interface.Operations· Provides routine metric data, coordination of events and special projects, and works closely with the Education Coordinators and other stakeholders on assigned projects.· Supports successful implementation of new departmental tools and operational models to improve access to care and employee workflow.· Participate in the identification of key issues and uses available resources to find solutions to concerns as communicated by the Department Leader and other members of the team. Provides follow-up and feedback and involves others in the process as appropriate.· Displays effective use of time and effectively works assignments to meet frequently competitive deadlines.· Produces error-free department technical reports· Provides administrative support for meeting logistics, agendas, and meeting minutes, unless there is an assigned notetaker.Education and Training· Meets with the Education Coordinators regularly to ensure that all training syllabus is updated and provide monthly status updates.· Maintains, updates, and revises departmental forms and documents.· Assist the Education Coordinators in maintaining files for all training education materials and videos.· Work with Education Coordinators to ensure that equipment in the Access Ops training area is working and ready before the first day of New Hire training.Special Projects· Participates in special programs, projects, and other duties as assigned.· Collaborates with Manager on all special projects and monitors progress, ie. Algorithms, Cause Analysis Program.· Assist in data coordination and document development in support of strategic and operational planning for the department.· Manage and reserve group activity and training roomsOther duties as assignedEducationRequired : Bachelor's degree in Business Administration or related field.Preferred : Master's degreeExperienceRequired: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis.
