Description We are in the insurance industry, located in Dallas, Texas, and currently have an opening for a Receptionist. This role is pivotal in providing a welcoming and professional environment for our clients and team. The Receptionist will be responsible for managing the front desk, handling customer inquiries, and ensuring efficient office operations. This opportunity offers short term contract employment.Responsibilities: Answer incoming calls, route them to the appropriate party, and manage inbound email correspondence. Welcome and assist visitors, providing them with necessary information and directing them to the correct locations. Maintain a professional and tidy reception area, while also managing the opening and closing of the area daily. Handle incoming and outgoing mail, including overnight mail, ensuring timely distribution and dispatch. Utilize Microsoft Excel, Microsoft Outlook, and Microsoft Word to perform data entry tasks and organize files. Coordinate multiple activities simultaneously, demonstrating flexibility and the ability to make decisive decisions under pressure. Schedule appointments and carry out other receptionist duties as required. Undertake special assignments as requested, demonstrating strong analytical skills and attention to detail. Requirements Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word is required for this role. Demonstrated ability to manage an answering multi-line phone system. Strong customer service skills and experience in a customer-facing role. Data entry skills are necessary, with an emphasis on accuracy and speed. Email correspondence proficiency, including drafting, replying, and forwarding professional emails. Strong interpersonal skills, ability to communicate effectively with all levels of staff and visitors. Organizational skills, particularly in file management and office systems. Experience in scheduling appointments and managing calendars. Familiarity with receptionist duties, including greeting visitors and managing inbound calls. Ability to assist visitors, providing information, and directing them to the appropriate person or department. Experience in directing visitors to the appropriate location or person in the office.
