The Sr Administrative Assistant will coordinate the Melanoma Medical Oncology Hem-Oncology Fellowship program, and to provide administrative support to assigned faculty, the fellows and program director.Administrative Support for Program Director, Assigned Faculty, and Hematology-Oncology Fellowship Programs Trainees - Coordinate and perform administrative support for all fellows, program directors, and other staff attached to the MMO Hematology-Oncology Fellowship programs, limited to tasks directly in support of the program such as preparing meeting agendas, request or retrieving data and preparing reports, serving as the primary liaison between those staff members and other institutions, and attending meetings on behalf of other program administrators.Administration of the MMO Hematology-Oncology Fellowship Training Programs - Coordinate the recruitment and application processing for the MMO Hematology-Oncology fellowship training programs, onboarding new trainees, tracking and reporting trainee progress in training, and evaluating the trainees and faculty.Faculty Support - Provide administrative support to assigned tenure track/tenured faculty. Assists faculty with preparing other support, CVs, and bibliographies for grant applications/renewals and manuscripts. Assists with documents and forms about clinical/research efforts. Ensures timely and accurate submission of required reports/documents for manuscripts and grants by tracking stages, alerting investigators, and initiating response processes. Maintains calendar for faculty, coordinates meeting invites/agendas, and responds to invitations on behalf of assigned faculty. Coordinates travel arrangements (domestic and international) to include department/division approvals, travel itineraries, web schedule entries, preparing travel/presentation materials, and travel reimbursement requests.EDUCATION:Required: High school diploma or equivalent.EXPERIENCE:Required: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience.Preferred: Experience supporting faculty and managing heavy travel schedules and calendaring. Ideal candidate will have the ability to use good interpersonal, customer service and problem-solving skills, work independently and handle complex issues in a clinical and research department.
