Description A client of ours in the real estate industry is looking to hire an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.The incumbent manages a variety of special projects for C-Suite team members, some of which may have organizational impact. What will you do? Coordinates travel, hotel, and transportation accommodations Coordinates all aspects of executive level appointments, meetings, receptions, conference calls and video conferencing Maintains frequently changing calendars through Outlook and understand Executive's priorities to effectively manage calendar Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the CEO/COO Responds quickly, accurately and confidentially to internal and external inquiries in a courteous and professional manner Completes special projects as assigned Prepares and reviews materials and correspondence for meetings; ensures Executive is prepared Assists with creation/modification of presentations, spreadsheets and other various documents Actively demonstrates teamwork at all times Responsible for the security and privacy of any and all protected health information that may be accessed during normal work activities Requirements We are looking for someone with: Minimum 5 years of experience supporting a C-level Executive Extensive experience booking travel Ability to draft correspondence on behalf of COO and team Ability to manage and maintain complex calendars and schedules and navigate appointments Ability to work collaboratively and thrive in a fast-paced, geographically dispersed, and rapidly changing environmentRobert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
