Working in a discreet environment handling sensitive and personal information daily

Completing transactional duties with special attention to detail, being organized, and multi-tasking

Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant IV, your day-to-day responsibilities will include:

We're looking for a candidate who can operate with a fair amount or autonomy and initiative in a dynamic environment where duties change from day to day

The resource will be situated in a location where greeting guests and answering phones is required, including occasional interaction with senior agency leaders

Most activities will be sole support, as opposed to team projects. Most communication responsibilities are verbal, with Infrequent writing and no briefing

We have flexible hours

No physical requirements or travel are anticipated

Ideal candidate will be familiar with Microsoft Office applications including Outlook, as well as other sponsor software including training application, access requests, and time & attendance systems

The Administrative Assistant IV will directly support executive-level managers, including email/phones/documents for three executives

Review and prioritize email

Migration/prioritization of multiple principal calendars with shared view/access

The ideal candidate will have familiarity with the processes for requesting computer accesses, creating email groups and user accounts, producing phone trees, selling up visitor requests, serving as a vault custodian, and serving as a time and attendance timekeeper

The ideal candidate will support/lead planning of award ceremonies, all-hands, and conferences

He/she will manage shared conference rooms, and review/prioritize/distribute mail

Track and maintain supply inventory; place supply orders, manage or assist with renovations and moves

Independently draft correspondence to other executives across the organization, creating meetings and clarifying facility operator involvement in events

Make copies when needed

The Admin Assistant IV will help arrange and coordinate travel for three executive-level and 2 GS-15 officers

Specifically, the AA will be responsible for submitting Travel Approval Requests, voucher reimbursements, and related requests

Travel varies from year-to-year, averaging at least eight trips a year for CONUS & OCONUS

Travel will not include conflict areas

Candidate is not expected to travel

Schedule rooms and meetings with other executive staff and individuals from across the enterprise including the private sector

Meetings will occur across Washington metro area

Candidate will arrange for access and transportation to/from these meetings as needed; though the candidate will not be expected to personally provide travel

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active TS/SCI with Polygraph clearance

HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience

Core hours 9:000 am - 3:00 pm

Proficient Word, Excel, Outlook, PowerPoint

Able to perform duties with minimal supervision and some team interaction

This position is on customer site

This is not, however, a guarantee of compensation or salary.
