Role Summary:

The executive coordinator position provides full administrative support to VW Credit, Inc's EVP & CFO as well as well as their first line staff. This position will interact and provide minimal support with other key leadership within VCI. This role performs a wide range of duties while interacting with a broad variety of professional disciplines. A keen sense of independent judgement, initiative and self-direction is required.

Role Responsibilities: Executive Coordination:
  • Coordinate and manage calendar when needed
  • Plan extensive domestic travel, coordinate meeting, capture meeting minutes and distribute action items / key takeaways from the meetings
  • Processing of expense reports in a timely manner
  • Screen and route telephone calls, handle routine inquires, and interface professionally with Senior Management
  • Handle confidential information discreetly and professionally
  • Manages activities for the executive as requested which may include distribution of tasks to different departments, gathering data, follow up with reminders, etc.
  • Track key business activities, data and metrics as requested
  • Adhoc tasks and responsibilities as needed
Administrative Assistance Responsibilities:
  • Setup teleconferencing, video conference & travel
  • Schedule meetings / appointments, capture meeting minutes,
  • Assist / create high level executive presentations and briefing books
  • Organize and maintain office supplies for departmental personnel
  • Inbound / Outbound Mail
  • Build Business Newsletters / Monthly Communications
  • Assist in preparation of annual budget. Track Expenses and prepare monthly summaries and forecasts.
  • Other adhoc tasks and responsibilities as needed
Other Tasks:
  • Identify ways to reduce inefficiencies and streamline processes when managing multiple tasks and projects

Experience: Required -
  • 5-7 years of relevant experience
    • Executive level administrative assistant experience preferred
Education: Required -
  • HS Diploma

Desired
  • Associates or Bachelor's Degree

Work Flexibility:
  • Some overtime may be required
  • Minimal travel - (5-10%)
