Accounts Receivable Specialist needed for Design Firm - Camas, WA Job Description:-Coordinate and execute full cycle Accounts Receivable activities including sales order creation, invoicing all the way through collection customer payments.-Work with project managers for invoice approvals and adjustments.-Manage PO balances for both internal and external customers.-Perform payment recovery.-Track project and phase completion dates for future invoicing.-Exercise discretion handling confidential items.

The candidate should know how inventory increase, decrease (simply by item receipts and then sending items out va item fulfillments also known as shipping), etc. We are willing to train on the financial impact side as it relates to inventory

Would ideally like someone who has at least 1 year of experience in invoices or sales order management.

For this position we are valuing experience and are happy to interview candidates that have a lot of experience in lieu of a degree.

NetSuite is preferred but not required, any ERP is fine, QuickBooks is ok but does not relate to an ERP system.

Question: What are the daily responsibilities for the AR Specialist/ Percentage Breakdown?Answer:30% daily invoicing20% kicking off new projects (customer PO’s/Quotes)10% A/R aging following up on payments10% Sales Order management, adding new deliverables30% fluctuate day to day/ week to week, could be heavier in invoicing or kicking off jobs, could be managing Purchase Order balances, communication with departmentsQuestion: Performance measurements/What are the KPIs to measure performance in these areas? Answer: Quantity of invoices compared to team after training is complete, same for sales orders created. We want to know they are carrying their weight. Question: Who will they be interacting with from a customer standpoint? What is the communication level required?Answer: Primarily via email, sending invoices to the customers AP department, inquiries from their purchasing department regarding PO status.Question: Will this person need to work with GL reports? IF so, to what degree?Answer: A/R aging report, Customized project reports detailing expense and hours reports, Searches helping the A/R team identify invoices against Purchase order lines. We will help train if neededQuestion: The JD mentioned “advanced proficiency” with Microsoft Office – how advanced in Excel? Anything outside of Pivots and VLOOKUPS?Answer: Not beyond pivots, VLookups, XLookups, filters, basic formulasQuestion: Will they have soft or hard collections calls or credit responsibility?Answer Very little collections and soft at bestQuestion: Do you care about industry experience/ background ?’Answer: Industry experience would be a great nice-to-have, but it is not required.
