We are seeking a proactive and detail-oriented Administrative Assistant to support our Property Management and HOA operations. This role is perfect for someone who thrives in a fast-paced environment, enjoys variety in their day, and values the importance of clear communication and organization. You’ll be interacting with residents, tenants, board members, and vendors — and playing a key role in keeping everything running smoothly.
Key Responsibilities (to include but not limited to):
Provide administrative support to property managers and executive staff
Maintain records for HOA meetings, maintenance requests, lease agreements, and compliance issues
Handle resident and tenant inquiries via phone and email professionally and promptly
Prepare meeting agendas, minutes, and board packets for HOA’s
Assist with processing work orders, vendor invoices, and property inspection reports
Schedule and coordinate property maintenance, inspections, and community events
Ensure compliance with fair housing laws, property regulations and maintain confidentiality
Input and update data in property management systems to create weekly/monthly trackers and pull relevant reports to maintain accuracy
Conduct exterior site inspections and verify adherence to HOA governing documents
Qualifications:
2+ years of experience in HOA operations
2+ years property management (residential or commercial) preferred
Proficient in Microsoft Office; experience with property management software (AppFolio and Rent Manager)
Familiarity with real estate accounting and monthly accounting cycles (A/P, A/R, commercial leases) preferred
Prior administrative experience in a professional setting
Excellent attention to detail and organizational skills
Strong written and verbal communication abilities
Education & Certifications Preferred:
CMCA (Certified Manager of Community Associations)
Experience and continued education with the new WUICOA condo law
Real Estate license

Knowledge of basic HOA and property management regulations
Reliable transportation for site visits
Must have and maintain valid driver’s license and clean driving record
