We are hiring for a Full Time Contracts Specialist

This role is responsible for managing and overseeing the contract lifecycle of all contracts and subcontracts for our organization, and ensures compliance with legal and regulatory requirements, and company policies, systems, and procedures.

Contract Review

Verify scope, terms and conditions with project manager, estimator, sales, as appropriate.

Review contract provisions, provide relevant revisions, and negotiate with customer/general contractors on agreements. Escalate modifications, as needed.

Order prime contract, wage determination and supporting documentation

Communicate administrative contract requirements to the departments and coordinate with customer/general contractors. Communicate important procedurals contract requirements to project managers and administrative departments.

Requests job specific insurance certificates, works with CFO to request job specific additional insurance, as required.

Order performance and payment bonds.

Review retention bonds options with CFO and order, as necessary

Subcontracts

Prepare Subcontractor information per contract flow down provisions

Prepare job specific subcontract agreements, as necessary

Maintain and update ongoing subcontract agreements

Change Orders

Prepare change order templates in accordance with contract

Periodically update change order templates with labor rates.

Change orders – review and process for signing

Contract Administration and Other Duties

Work with Project Managers/Foreman to support the proper badging of individuals to access restricted job sites.

Drives the completion of pre-qualification documentation, when necessary.

Qualifications:

Excellent written and oral communication skills

Ability to develop and maintain collaborative working relationships with colleagues, customers and legal representatives.

Ability to organize and manage to completion multiple high-priority projects simultaneously and on time.

Education and Experience:

Bachelor’s degree in Business Administration, Law, or a related field, preferred.

Proven experience as a Contracts Administrator or similar role.

Strong understanding of contract law, procurement processes, and compliance regulations.

Excellent negotiation, communication, and interpersonal skills.

Ability to analyze complex contractual terms and provide sound recommendations.

Proficient in Microsoft Office Suite and contract management software.

Detail-oriented with strong organizational and time-management skills.
