Description We are in search of an Executive Assistant to join our team located in Bellevue, Washington. As an Executive Assistant, you will serve as the primary point of contact for various internal and external stakeholders, manage a diverse workload, maintain confidentiality, and promote our mission. This role offers a short term contract employment opportunity. Responsibilities: Serve as the primary contact for internal and external constituencies on all matters pertaining to the Head of the organization. Efficiently manage the Head of School's appointment calendar and prioritize incoming correspondence. Provide administrative support to the Head of School by preparing necessary materials and documents, reconciling monthly credit card statements, and planning all-school and Head of School events. Provide administrative support to the Board of Trustees by organizing, assembling, distributing, and preparing board packets for meetings. Manage, coordinate, and oversee the All School Planning Calendar. Serve as a backup receptionist in the Main Office and manage all-school office needs. Coordinate with the Director of Facilities in ensuring proper documentation of emergency preparedness procedure. Utilize CRM to process customer credit applications and maintain accurate customer records. Handle conference calls and other communication channels efficiently. Requirements Must have previous experience in an Executive Assistant role or similar Proficient with CRM software Excellent communication skills, both written and verbal Experienced in managing executive calendars and scheduling appointments Capable of organizing and coordinating conference calls Skilled in managing professional correspondence, including emails and letters Ability to multitask and prioritize tasks effectively Strong organizational skills and attention to detail Demonstrated ability to handle confidential information discreetly Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint Ability to work independently and as part of a team Excellent problem-solving abilities and proactive approach to work Must have a flexible attitude towards work and be willing to adapt to changes in tasks and responsibilities Professionalism and high level of discretion required Must be punctual and reliable Willingness to take on additional tasks as required.
