Executive Assistant (Bothell, WA)As the Executive and Department Assistant for Business Unit Ultrasound, Research and Development (R&D), you have the opportunity to work with a diverse and dynamic leadership team, which is working across Ultrasound sites, Innovation & Strategy (I&S) functions, and Ultrasound cross-functional partners to define, deliver, embed, and deploy Innovation products to enable the future of Philips.Your role:

Perform secretarial and administrative duties for an Executive, and supporting other executives and senior leaders on the R&D Leadership Team. Manage heavy calendaring, including independently prioritizing meetings, calls, travel, and interruptions to optimize executives’ productivity.

Arrange complex and detailed travel plans and itineraries, compiling documents for travel-related meetings, organizing flights and hotels and managing logistics, including last minute changes upon request.

Utilize analytical skills, take initiative and execute independent judgment to remain knowledgeable of corporate policies; often called upon to interpret and communicate executive intent to other employees. This position may make contacts of a sensitive, complex, and confidential nature.

Work in conjunction with the administrative assistants of Executive’s peers, focused on the efficiency of time across multiple executives’ calendars, including Ultrasound, and other Enterprise Functions as needed.

Facilitate logistics and planning for monthly staff meetings, teambuilding events and corporate meetings, as well as execution of R&D cadence meetings. This includes preparing and vetting agendas, tracking action items, distributing pre-reads, creating and distributing minutes.

You're the right fit if:

You’ve acquired 10+ years of executive and administrative assistant experience, including supporting an Executive level leader, as well as senior technical leaders and their team in an executive assistant and administrative assistant capacity.

Experience in healthcare/medical technology environment or with an R&D or Marketing function is preferred.

Your skills include:

Experience working in a multi-disciplinary, multi-site, multi-time zone environment. Urgency and timeliness are critical.

Highly proficient in workforce productivity and administrative tools, including Microsoft Office applications, Ariba, and Concur.

Highly proficient in complex project management coordination, calendaring, and domestic/international meetings, as well as travel planning and oversight.

You have an Associate’s degree, Bachelor’s degree highly preferred.

You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position.

You have high attention to detail, strong organizational skills, computer proficiency, superb communication skills, and excellent customer service experience. You are a critical thinker, and are skilled in research, analytical and problem-solving skills in a fast-paced environment.

The actual pay offered may vary depending on multiple factors including, job-related knowledge/skills, experience, business needs, geographical location, and internal equity.In addition, other compensation, such as an annual incentive bonus, sales commission or long-term incentives may be offered.
