Job Description

The Global Sales Administrative Assistant position is for an experienced, reliable, task-oriented individual who will support CHQ Global Sales leadership and the President, Global Services. You will provide high quality administrative assistance to executive management.You will participate in, support, or lead projects and initiatives related to Global Sales. The ideal candidate is organized and highly capable of prioritizing their work while managing important tasks and deadlines in a fast-paced corporate environment. You must be able to work independently and be highly professional with a keen sense of urgency and drive to complete tasks or projects on time.

Primary duties include support of projects and tasks related to Global Sales, assisting with presentations and meeting notes, scheduling meetings, making travel arrangements. To be successful in the role you should be proactive, communicate effectively, and collaborate well with others. Flexibility and willingness to support are needed for this role. Ideal candidates are familiar with Sales processes, Sales Operations functions, office management technologies, and are willing to assist when requested.

Key responsibilities

Participate in various Global Sales projects and tasks to support the company’s strategic goals.

Provide support on key Global Sales initiatives by providing email communication, organizing meetings, and other tasks as requested.

Organize customer meetings at CHQ as requested.

Manage the agenda, scheduling and resources for the monthly Global Services Leadership meeting. Take meeting minutes and distribute.

Organize the schedule, speakers and invitations for the monthly Global Services all employee meeting.

Compose and publish updates to the Global Sales internal company website, Insite.

Coordinate with various internal contributors to the Global Business Development blog, Cultivate.

Provide support to the Global Sales Operations team on various tasks as needed.

Manage background checks with a third-party vendor for new hire candidates.

Organize Global Services group events and holiday party.

Provide reporting support to Global Sales executive leadership as requested.

Take on additional assignments, as required, in support of company needs.

Qualifications

Bachelor Degree or 4 years of related experience.

Project Management experience is a plus.

Proven work experience in Sales Operations, Project Management, Administrative Assistant or similar role.

Experience exercising discretion and confidentiality with sensitive company information.

Outstanding organizational skills, and ability to prioritize effectively.

Outstanding communication skills (written, phone, and in-person).

Highly proficient in PowerPoint, Word, Excel. Familiarity with PowerBI is a plus.

Ability to work productively both individually and in a team environment.

Positive and professional demeanor.

Flexibility to take on additional tasks as requested.

This position will be based at our corporate office in our Seattle/Bellevue location.
