Job Summary

Real Estate Office seeks a dynamic professional to fulfill the role of Office Administrator, providing comprehensive support while managing daily office operations. The ideal candidate will be adept at handling a variety of tasks efficiently and with a keen attention to detail.

Responsibilities

Provide administrative support to team members, including document handling, organization, and file management using our online file management system.

Coordinate calendars and schedule appointments, meetings, and events for agents and office staff.

Serve as the initial point of contact for clients and visitors, warmly greeting walk-ins and directing inquiries appropriately.

Manage incoming calls and voicemails, ensuring prompt and courteous assistance to callers.

Assist with mail handling, including sorting, distribution, and preparation of USPS and certified mail.

Serve as the primary contact for office facilities and maintenance issues, ensuring a well-maintained and organized workspace.

Perform opening and closing duties for the office and kitchen area, ensuring a clean and welcoming environment.

Coordinate office orders and supplies, monitoring inventory levels and replenishing as needed.

Assist with coordination of team lunches and special events.

Scan and organize documents electronically, maintaining a tidy and efficient filing system.

Perform other duties as assigned to support the smooth operation of the office.

Required Qualifications

Minimum of 2 years' experience in a similar administrative role, preferably in a real estate or related industry.

Proficiency with Google emails and drives, as well as document handling and organization.

Excellent organizational skills and a meticulous attention to detail.

Ability to work effectively in a fast-paced environment with changing priorities.

Strong multitasking abilities, capable of managing multiple tasks simultaneously.

Some knowledge of QuickBooks is a plus.

Must possess reliable transportation and be authorized to work in the U.S.

Physical ability to perform tasks such as seated desk work, walking, crouching, and lifting items up to 20 pounds.

Job Type: Monday to Friday, 9:00 AM to 4:00 PM
