We are seeking a self-directed and highly organized individual to join our team as an OFFICE MANAGER to support our daily operations. This position requires strong communication skills, effective multitasking abilities, and adaptability to fluctuating workloads.

Rainier Commercial Real Estate Services is a boutique brokerage firm in beautiful Gig Harbor, Washington. We specialize in corporate real estate services for tenants and property owners throughout the Pacific Northwest and Alaska. We focus our energy on the retail sector of the marketplace. DUTIES to include but not limited to:

Lead generation and list creation of specific properties and ownership information, contacting property owners and monitoring relevant industry activity (openings and closures).

Gathering and summarizing property data from marketing flyers, ownership information, town records, zoning, maps, traffic counts, demographics, aerials, etc.

“Tour Book” creation in electronic and hard copy formats - conducting research, creating agendas, and compiling printed materials on multiple properties in preparation for client meetings and market tours.

Assist with special projects and initiatives as assigned, such as summarizing short articles for a monthly newsletter.

Maintain and organize digital and hardcopy files, including transaction files, correspondence records, and office manuals for State Licensing requirements, as well as prepare and distribute contracts, addendums, and NDAs.

Manage travel arrangements (air, hotel, car) and attendance fees for trade conferences.

Provide administrative support to the management team, including scheduling and email management. Manage and arrange various office equipment agreements including copier lease, internet service, website hosting and management. Maintain office supplies by checking inventory and ordering items.

Answer incoming calls, respond to questions/requests for information, generate memos, emails, and reports for tenants, vendors, and/or clients. Create, review, send, and track invoices for payment. Other receptionist duties as needed.

PROFESSIONAL QUALIFICATIONS:

Previous experience in real estate transaction coordination, real estate administration/marketing, or a related field is preferred.

Must be proficient in Microsoft Office Suite (Word, Excel, Outlook, Power Point). Experience using Regis, Photoshop, Google Earth (Pro), and Digisign or Docusign is required.

An active real estate license is not required for this position but is preferred.

Must have excellent verbal and written communication skills and effectively communicate with clients, agents, government contacts, and other parties involved in the transaction process.

Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously are required. Attention to detail is critical.

Must possess strong problem-solving skills with the ability to proactively identify issues and find solutions.

Dedication to providing exceptional customer service to clients and ensuring a positive experience throughout the transaction process is paramount.

Must be self-motivated and able to complete work with little or no supervision.

Time management is important to balance long-term tasks and last-minute deadline projects in an inconsistent workflow environment.

High school diploma/GED required (Bachelor’s degree is highly preferred; or the equivalent certificates in digital marketing/Photoshop)
