inLife Clinic is looking to fill a part-time position as the Client Services Manager for our clinic, which exclusively serves First Responders. inLife Clinic provides counseling and onsite Mental Health Support at contracted agencies. We are expanding to train more therapists who want to become culturally competent with the First Responder population. We are looking for a Client Services Manager to help us to the next level.
The general administrative responsibilities include:
Greeting clients on arrival
Answering phone & returning phone messages/voicemail
Scheduling client appointments
Setting up new clients in the patient portal
Communicating with Therapists
bank deposits
Administrative tasks
Errands for Director as required
Providing invoices & bank receipts to bookkeeper
The Client Services Manager supports the Director in managing the therapists, contractors, and contract agencies. Other tasks include:
scheduling,
managing timesheets,
doing research projects,
implementing new systems,
handling tech or equipment issues,
providing HR support,
keeping the website up to date,
ordering supplies,
other essential tasks for the office.
Being comfortable with any emotional state the client may be in is critical. The overall focus is to keep the clinic running smoothly, assist our expansion, and support the Director.
Experience with Medical insurance billing would be an asset
The office uses an online system called Simple Practice for patient scheduling and insurance processing which streamlines the work and keeps data organized. We have outsourced the insurance billings, which the Client Services Manager oversees.

This is a part-time position on Mondays and Wednesdays, 8 hours daily from 8:00a-4:30p (half hour lunch). Possibility of an extra day working remotely. The hours could expand as we grow.
