One of our largest and most well-known clients has a brand-new opportunity for a Program Manager 2 to join their team remotely. This Program Manager will provide operational and tactical support of the integrated engagement rhythm of business and connections - coordinating across both the core business (sales, delivery, finance) as well as the functional business leads, the Area / Field leads, and broader organization and governance operating model. In support of those rhythms, capture minutes, tasks, and author succinct summaries to ensure clear understanding across all various rhythms and meetings. This Program Manager will also support the operational and tactical support of Action Management program - including the end-to-end management of their core executive, drive for strategy governance, maintain tooling / reporting, develop and grow key relationships, author and distribute crisp communications, and maintain supporting documentation / resources and identify / drive for streamlining and improvements. Scope of Activity and Responsibilities:

  • Prep / planning support
    • E2E quarterly schedule development
    • Work across interdependent resources and partners to gather dates, review, and revise schedule
    • Deck templates and master creation
    • Support RoB planning meetings, follow-up and through on key tasks
  • Attendee management
    • Develop relationships and gather quarterly attendee updates across client's core business area roles
    • Work with client's S&O partners on attendee management, address last-minute attendee requests with confidence, agility, and precision
  • Production support
    • Work with collaboration partners to ensure successful production, all deliverables and milestones achieved
    • Support, build, and quality check our key quarterly deliverables in support of the quarterly rhythm
  • WW area meetings support
    • IM capture
    • Recordings and operations
    • Action notes
  • Action triage and intake support
    • Clear understanding and execution of the action intake process (Area PPT to Excel, to LT Data-Pack)
    • Triage support
    • Post-VSUs, confidently upload and validate to UA Tracker, while acknowledging which manual updates will be required post upload
    • Author area follow-up communications to both corp. and area, which require accuracy and attention to detail
  • Changes / fiscal rollover
    • Document lessons learned throughout fiscal year and consider for quarterly and fiscal year rollover activities
    • Prepare, plan, and execute rollover activities (update relevant templates, absorb process changes into the schedule, update playbook documentation, etc.)
    • Identify and support the cohesive processing of change impacts
  • Governance programs
    • While the program is in perform while transform phase, provide key support to manage the schedule, meeting minutes, follow-ups, and special projects
    • Support with creating and maintaining key documentation
    • Be able to identify, understand and / or support solutions for complexities within the cross-functional governance
  • Action Management Program
    • Learn and fully understand the supporting process, tool, and dashboard in order to become the subject-matter-expert and ensure adoption / best practices across all involved roles
    • Prepare and manage the weekly triage meeting across our business managers and cross-functional managers
    • Follow-through with meeting notes, carry out necessary tasks and follow-ups
    • Author monthly teams and executive communication, while addressing accessibility to ensure inclusive
    • Attend weekly tool / dashboard governance meetings and be able to act as a proxy
    • Point-of-contact for Q&A / issues from various stakeholders / users of the Action Management Program process and supporting tool and dashboard
    • Strategically identify problems and provide solution proposals
  • End-to-end management
    • Playbook creation / updates across both RoB and action management programs, while keeping up-to-date amidst changes
    • Teams / SharePoint / OneNote
      • Keep site links and folder structure up-to-date
      • Process permissions
      • Keep all relevant documentation, lists and mailSGs organized and up-to-date throughout fiscal
    • Streamline and optimize - identify areas to continue to streamline and improve, make proposals and help execute / land
    • For all official documentation and communications, ensure that they are checked and updated for accessibility
      • Example: Walking decks, template decks, formal communications etc.
Skills and Qualifications:
  • 3 to 5+ years of rhythm of business or operations experience
  • 3 to 5+ years of Microsoft Office Suite (Word, Excel, Outlook, etc.) experience
  • Previous project management experience required
  • Excellent all-around communication skills
  • Able to drive the process, solution-oriented
  • Familiar with rhythm of business, with strong drive for results
  • Able to complete a task at hand independently and with limited instruction
  • Comfortable with heads-down work on deliverables and creating solutions
  • Confident in their skills and self sufficient
